Summary
Sylvan Health is hiring a Data Management Specialist to handle day-to-day healthcare data operations, with a focus on appointment and payment information flowing through multiple systems.
Appointment and data file management
- Oversee the routine transfer of appointment and payment data in coordination with Customer Success and Operations.
- Pull, format, and send appointment reports from EHR platforms such as Medent, Healthie, and athena to the correct destination, including client EHRs, Sylvan Health SharePoint, or other specified formats.
- Examine client intake schedule updates and make same-day appointment status changes in the EHR, adding the right notes and next steps.
- Handle partner-specific workflows for data and file management, including specialized processes tied to self-pay rules inside partner EHR systems.
Communication
- Keep the Sylvan Health team updated promptly and clearly through the agreed channels, such as Microsoft Teams, Outlook, or phone when needed.
- This role is limited to internal coordination and does not involve direct contact with patients or external partners.
File delivery and timeliness
- Finish reporting updates and other data tasks within the same business day.
- If a deadline may be missed, notify Sylvan Health in writing as early as possible.
Benefits

Requirements
- Must be legally authorized to work in the United States.
- At least 2 years of experience managing healthcare data files across multiple internal provider systems, including EHRs.
- Strong interpersonal skills and a proactive communication style.
- Ability to stay calm and effective in sensitive, complex, or fast-changing situations.
- Comfort communicating clearly by phone, SMS, and email with internal stakeholders.
- Strong organization, accuracy, and attention to detail.
- Willingness to adjust to changing workflows and operational procedures.
- Capable of working efficiently in several software tools at once.
- Bachelor’s degree is preferred but not mandatory.
- Prior exposure to nutrition or Medical Nutrition Therapy work is helpful, though not required.
