Job description
Role overview
This position supports the communications and event planning function for corporate and special events. The coordinator helps keep events on track by handling preparation work, supporting administrative tasks, and working with teams across the business to make sure event logistics run smoothly and venues are ready.
What you'll do
- Handle pre-event coordination tasks such as event intake, client follow-up, weekly status meetings, and upkeep of the event calendar.
- Support the full planning and delivery cycle for meetings and events by entering and maintaining information in the relevant systems.
- Communicate with internal teams, outside clients, and industry partners regarding event requirements and updates.
- Assist with research activities and with requests for proposals from vendors and internal stakeholders.
- Track event costs, complete expense reconciliation, and help monitor budgets together with event leaders.
- Contribute ideas and support for event project plans and their rollout.
- Help prepare proposals and presentation materials for events.
Preferred qualifications
- A bachelor’s degree in marketing or a closely related discipline is preferred.
- At least 2 years of experience planning and executing corporate events is preferred.
- Experience working with event venues, including contract handling, facility setup, production requirements, meal planning, and security considerations, is preferred.
Experience and education
General education requirements indicate a high school diploma or GED is strongly preferred. The role typically calls for 2 to 5 years of experience in the area of responsibility, and some specialized training or certification may be required.
Work environment
This role is based in a comfortable indoor setting with infrequent unpleasant conditions. The work is mostly seated, with regular chances to move around, and occasional need to lift or move light items. Overnight travel is expected to be less than 10%.
