Role overview

This position supports the Senior Vice President of National Publicity with senior-level administrative work while also contributing directly to the day-to-day coordination of film publicity campaigns. The role combines executive assistance with campaign operations across national, digital, and talent publicity initiatives.

Key responsibilities

  • Oversee the SVP’s phone line, calendar, travel, expenses, invoices, and daily operational needs.
  • Plan and coordinate team meetings and related scheduling.
  • Maintain frequent communication with executives, filmmakers, and talent representatives.
  • Prepare filmmaker and talent schedules and keep them updated with changes such as event details, travel, grooming, and security information.
  • Organize travel and logistics for filmmakers, talent, and their support teams, ensuring movement is tracked carefully throughout publicity campaigns.
  • Set up glam and grooming support, including hair, makeup, styling, and security, while confirming contractual, logistical, and budget requirements are met.
  • Partner with legal teams on participation-related documentation such as visas and non-disclosure agreements.
  • Track invoices, purchase orders, and vendor billing issues, including those from groomers, stylists, and security providers, to help maintain budget accuracy.
  • Coordinate contract requests and vendor payments with the Administrative Assistant and keep budgets current.
  • Maintain working documents such as calendars, timelines, status reports, filmmaker decks, credits, one-pagers, and production notes.
  • Manage internal and external distribution lists for publicity materials.
  • Review daily press coverage for each film title and circulate it promptly to studio, marketing, production, filmmaker, and personal publicity contacts.
  • Work with national and digital teams to compile screening information and distribute reports to the right recipients.
  • Search for, compile, and distribute reviews quickly and accurately.
  • Create media invitations for New York and Los Angeles.
  • Set up and staff screenings, manage print trafficking, and maintain RSVP lists in coordination with publicists and the Administrative Assistant.
  • Support talent and filmmakers onsite at red carpets, press junkets, interviews, appearances, conventions, award shows, film festivals, and similar publicity events.
  • Stay current on national print, broadcast, and radio outlets, along with key writers and hosts in Los Angeles and New York.
  • Contribute ideas with national and online publicity teams for film initiatives.
  • Handle research and other special projects as assigned.

Required qualifications

  • At least 1 year of relevant experience; strong internship experience may also be considered.
  • Bachelor’s degree required.
  • Strong command of Microsoft Word, Excel, and PowerPoint.
  • Excellent writing, speaking, and interpersonal communication skills, with the ability to work well with staff, administrators, outside contacts, and senior leadership.
  • Comfortable using social media tools professionally.

Compensation and benefits

The posted hiring range is $53,000 to $63,600 per year. Final starting pay will depend on factors such as location, market conditions, experience, training, and education.
