Role Overview
The Business Support Executive is a key operational leader for the Singapore office, responsible for coordination and hands-on execution across facilities, office services, workplace experience, compliance, events and HR-related coordination. The role helps keep day-to-day office operations running smoothly while also contributing to broader operational improvements across Southeast Asia.
This position suits someone who is proactive, highly service-oriented, well organized and comfortable guiding vendor teams, maintaining workplace standards and working effectively with cross-functional stakeholders.
Key Responsibilities
- Oversee the day-to-day performance of onsite service teams, including facilities, front-of-house and cleaning staff, while ensuring service quality aligns with BCG standards.
- Set the tone for professional conduct, courteous service and a polished workplace environment.
- Handle workspace allocation and office changes through digital access and workplace systems such as FR, HID, AppSpace, Vecos and Capitaland.
- Manage pantry, café, stationery and equipment-related supplies and maintenance.
- Respond to internal staff, visiting colleagues and guest enquiries to provide efficient on-site support.
- Coordinate with external vendors to maintain service quality and competitive commercial terms.
- Maintain office insurance coverage, including all-risk and public liability policies, and support yearly renewals.
- Coordinate vendors for services outside IFM scope, including quote collection, Coupa onboarding and repair or replacement follow-up.
- Support invoice approval for local vendors.
- Track the office operations budget, monitor spending, prepare expense updates and highlight any variances.
- Keep office equipment records current, including landline extensions, employee movement updates and system housekeeping.
- Co-lead safety and security drills, including tabletop exercises, Everbridge tests and emergency process reviews.
- Support updates to local crisis management plans and assist with fire drill planning.
- Manage mobility and security entries for staff and visiting personnel, typically 60–80 entries per month.
- Ensure access and mobility records remain accurate, compliant and ready for audit review at all times.
- Maintain strong hospitality and workplace experience standards across the office.
- Organize farewell, welcome, milestone and recognition gifts across teams and business units.
- Support office communications, including directory updates, contact information and social channel content.
- Maintain operations dashboards and related reporting data.
- Support onboarding and offboarding processes, including access setup, workspace readiness, induction coordination and exit paperwork such as AMEX documentation.
- Remove leavers from access systems, complete monthly exit audits for HRID and manage corporate card cancellation for departing staff.
- Review monthly delinquency reports for active cardholders through the Amex AtWork portal.
- Assist with internal and external events such as All Hands, WWOM, HODs and Town Halls, as well as other initiatives or ad hoc assignments as needed.
- Resolve event-related logistical issues quickly while maintaining high execution standards.
- Prepare and support global reporting requirements, including Origami Risk, Non-US Forms, COPE, BCG Security Survey, Energy Survey updates and similar submissions.
Requirements
- A bachelor’s degree in Business, Human Resources or a related discipline.
- At least 4 years of relevant experience, preferably in a professional services environment or in office administration and operations support roles.
- Strong customer service orientation, professionalism and close attention to detail.
- Excellent written and spoken communication skills, with the confidence to work professionally across all levels of the organization.
- Ability to work independently while also contributing as a collaborative team player, showing sound judgment, initiative and flexibility.
- Practical experience managing external vendors, facilities management contracts and onsite service teams.
- Background in office operations, workplace experience or facilities-related support.
- Confidence in managing vendors and supervising day-to-day onsite operations.
- High ethical standards, discretion and calm, professional behaviour in sensitive or demanding situations.
- Proficiency with Microsoft Word, Excel, PowerPoint and Outlook, plus comfort using AI productivity tools such as ChatGPT or Claude to improve efficiency and automate routine work.
- Ability to learn new systems quickly.
