Role overview
Holmes & Hills Solicitors is hiring a permanent, full-time Business Support Administrator based in Braintree. The position sits within the Business Support Team, which helps every department work efficiently across the firm’s offices. This is a hands-on administrative role that calls for strong self-organisation, initiative, and the ability to juggle several tasks at once.
The post involves occasional travel to other offices, including Coggeshall, Halstead, Marks Tey, Sudbury, Tiptree, and Witham, depending on business needs. Duties may also include reception cover, telephony support, and project-related work. Some of these locations have limited public transport, so access to a vehicle is required.
The working pattern is Monday to Thursday from 8:30 am to 5:30 pm and Friday from 8:30 am to 5:00 pm, totalling 37 hours per week.
Key duties
- Set up new files for all departments and prepare them according to each team’s requirements.
- Record contacts in SOS, log identification requirements, and scan supporting ID documents where needed.
- Complete file closures for teams across the business.
- Handle archiving tasks.
- Sort incoming mail, scan post, and manage outgoing mail, including recorded deliveries and daily trips to the post office.
- Photocopy, scan, and save documents into SOS.
- Prepare bundles and related documentation.
- Manage Wills and Deeds retrieval and storage while keeping records aligned with firm policy.
- Monitor stationery supplies and send order lists to Accounts.
- Type attendance notes, letters, and other documents for different teams as required.
- Support departments such as Marketing with project work.
- Coordinate meeting room bookings.
- Handle overflow messages for teams.
- Provide telephone cover and take messages throughout the day.
- Welcome clients and visitors at reception.
- Serve refreshments and organise catering when needed.
- Keep client-facing areas tidy and presentable with checks during the day and after meetings.
- Carry out other ad hoc duties as required.
Experience and approach
