Its operations include a retail showroom in Singapore, an online commerce platform, and secure vault facilities in multiple jurisdictions. Role Purpose
This position is responsible for end-to-end ownership of the physical premises, with the retail shop as the top priority. Because the space receives daily foot traffic, upkeep is continuous. The role exists to keep the showroom and supporting facilities looking professional, functioning properly, and always a step ahead of issues before they become visible to customers. In a trust-based business, the condition of the premises is part of the customer experience and reflects how seriously the company treats its responsibilities.
The role is highly practical and hands-on. Wherever a task can be repaired, assembled, installed, or maintained directly, you are expected to handle it yourself whenever possible and involve external support only when necessary. In addition to the physical work, you will oversee maintenance activity, coordinate vendors and contractors when required, manage building security systems, and support health, safety, and compliance standards. You will also serve as the main point of contact for building and infrastructure matters.
Facilities and Maintenance
- Keep the retail and office areas consistently neat, presentable, and fully operational so they provide a professional environment for both customers and staff.
- Perform daily inspections of the office, showroom, and vault areas to spot maintenance, cleanliness, and safety concerns early.
- Support the upkeep of security infrastructure such as CCTV, access control, alarms, and locks, and escalate defects to management without delay.
- Carry out practical repair work, minor installations, assembly tasks, and routine maintenance yourself whenever feasible, including furniture assembly, mounting equipment, and small fixes.
- When needed, arrange and oversee repairs, servicing, and preventive maintenance for building systems such as air-conditioning, electrical, plumbing, lighting, and other general fittings.
- Coordinate external vendors and service providers, plan their visits, and confirm that work has been completed to the required standard.
- Track facilities tools, supplies, and equipment, and replenish stock when required.
- Manage employee access rights by issuing, updating, and withdrawing access cards and permissions according to management direction, while keeping records accurate.
- Control access for maintenance work in secure zones and follow all security procedures.
- Arrange regular servicing, statutory inspections, and repairs for the lift so it remains safe and working at all times.
Health, Safety, and Compliance
- Make sure the premises comply with workplace safety, health, and fire-safety requirements, and maintain the related records and certifications.
- Carry out and record periodic checks of safety equipment, emergency exits, first-aid materials, and signage.
- Support emergency readiness activities, including evacuation procedures and response to incidents.
Administration
- Maintain detailed records for service schedules, contracts, warranties, inspections, and facilities-related spending.
- Monitor the facilities budget, collect quotations, and assist with cost-conscious purchasing.
- Support the processing of facility-related invoices by checking them against completed work or received goods before forwarding them for approval and payment.
- Provide support for office relocations, layout planning, and equipment setup when required.
- Contribute to projects involving the premises, including renovations, shop fit-outs, relocations, and new equipment or system installations, while minimizing disruption to daily operations.
