Role Overview

Caron Treatment Centers is seeking a compassionate and highly organized Admissions Specialist to support individuals and families beginning the recovery journey. This role serves as the first point of contact for prospective patients. The specialist speaks with individuals and their families during difficult moments, evaluates treatment needs, and helps connect them with the most appropriate level of care.

Schedule and Work Location

This is a full-time position with a Tuesday through Saturday schedule from 11:30am to 8:00pm. The role is based at the Caron Wernersville campus, and the selected candidate must be available for training during standard business hours. Key Responsibilities

The Admissions Specialist manages the admission process from the first conversation through the patient’s arrival for scheduled care. The role requires a strong understanding of Caron’s full continuum of care and the ability to guide each caller toward the right treatment path or placement.

This position involves evaluating whether a clinical screening is needed before scheduling, collecting information for the Admissions Screening Team, and coordinating with the Admission Clinical Specialist when appropriate. In some cases, the specialist may refer callers to an outside interventionist or case management support.

A major part of the job is handling financial conversations with accuracy and sensitivity. This includes reviewing treatment investment details, exploring available funding options, working with out-of-network insurance, single case agreements, and in-network or contracted plans, and helping determine benefits, medical necessity, and expected out-of-pocket costs. The specialist also secures payments, alerts leadership about special agreements, processes financial applications, and gathers supporting documentation required by compliance and financial assistance guidelines.

The role also requires building and maintaining relationships with referral sources and other stakeholders such as internal and external referrals, donors, alumni, and treatment providers. Clear communication throughout the pre-admissions process is essential.

Additional duties include managing assigned cases, keeping scheduling records accurate, documenting progress notes and calls in patient files, welcoming patients and visitors, giving tours when needed, supporting physical admission tasks when required, assisting with reporting and quality-related work, using phone systems and Microsoft Teams/Outlook, monitoring live chat and email intake channels, helping train new staff, updating training materials, covering the receptionist desk when needed, and responding to crisis callers using approved tools and resources.

Physical and Work Environment Requirements

The position requires strong verbal and written communication throughout most of the workday, extended sitting, frequent typing, and the ability to walk the campus for tours, including stairs or uneven ground. Travel to campus may be necessary during severe weather. The job may involve presenting to both small and large groups.

This is a safety-sensitive role. In-office work must be conducted in a professional shared workspace. For remote work, the employee must maintain a private, quiet home office and protect the confidentiality of Caron’s phone and computer systems whenever stepping away or logging off.

Education and Experience

A high school diploma or equivalent is required. A bachelor’s degree in psychology or human services is preferred. Candidates should have two years of experience in consultative sales, customer service, or behavioral health treatment. The ability to obtain PCB certification, specifically CAAP or CRS, within two years of employment is required if the candidate holds a bachelor’s degree. Strong working knowledge of Microsoft Outlook, Word, Excel, and Teams is expected. For applicants in recovery, two years of continuous sobriety is preferred.

Knowledge and Skills

The ideal candidate can type 45 words per minute with 95% accuracy, use business software effectively, deliver excellent customer service, stay highly organized, work independently, maintain confidentiality, communicate clearly, manage multiple priorities, solve problems, and think critically.
