Job description

Role overview

This position sits within the Workforce Administration team in the Technical Operations division. The role supports represented Technical Operations team members and their leadership by handling day-to-day administrative work in a fast-paced office environment.

The role also involves coordinating with a collaborative team to help keep workforce administration processes running smoothly. The posted pay range is $18.27 to $23.08 per hour.

Key responsibilities

  • Review, interpret, and assemble department reports such as weekly headcount summaries and monthly projection updates.
  • Work with payroll processes through the Workbrain system, including time coding and shift scheduling.
  • Handle overtime, field trips, shift swaps, and holiday equalization in line with collective bargaining rules and Workbrain procedures.
  • Carry out vacation changes based on leadership direction, contract terms, and system requirements.
  • Respond to internal customer needs by phone, email, and in-person inquiries.
  • Serve as a link between airport personnel, local leadership, and team members.
  • Support onboarding and training for new administration center employees.
  • Assist with projects such as system rollouts and process changes for frontline staff, leaders, and administration center team members.
  • Submit access requests for computers and systems.
  • Organize, track, and maintain files and correspondence.
  • Manage requests that require quick turnaround.
  • Communicate clearly with senior leadership regarding operational questions and concerns.
  • Meet FAA criminal background screening requirements for unescorted SIDA access, where applicable.
  • Obtain the needed airport authority and/or U.S. Customs security badges, if required.
  • Be available for shifts, nights, weekends, and holidays when necessary.
  • Travel as needed for professional development.

Requirements

  • High school diploma or GED.
  • At least 1 year of administrative experience.
  • Intermediate proficiency with Microsoft Office tools such as Word, Excel, and PowerPoint.
  • Knowledge of relevant workforce collective bargaining agreements, including IAM and TWU.
  • Working understanding of Workbrain or similar time-and-attendance systems.
  • Ability to draft correspondence and format reports.
  • Ability to protect confidential team member files, payroll information, and personal data.
  • Strong planning and prioritization skills.
  • Sound judgment and the ability to perform well under deadlines with professionalism, patience, tact, and efficiency.
  • Comfort working independently as well as collaboratively.
  • Preferred: 3 years of office-based experience.
  • Preferred: 1 year of experience working with a unionized workforce.
  • Preferred: Associate degree or equivalent practical experience.
  • Preferred: Experience using data analysis to improve processes and support operational excellence.
