Role Summary
This is a full-time, on-site position in Doha, Qatar. The Administrative Office Specialist will keep daily office operations running smoothly, maintain records and files, support internal documentation, coordinate calendars and meetings, manage office supplies, and help with basic accounting activities such as invoice follow-up and expense records. The role also involves handling communication with internal and external stakeholders, directing inquiries appropriately, and supporting sales and service workflows while maintaining a professional, organized, and safe work environment.
Key Duties
- Oversee routine office administration and ensure day-to-day tasks are completed efficiently.
- Manage incoming and outgoing correspondence and route messages to the right people.
- Organize files, maintain records, and keep internal documents up to date.
- Coordinate schedules and set up meetings as needed.
- Track office supplies and help replenish materials when required.
- Support simple accounting work, including invoice tracking and expense documentation.
- Respond to customers, suppliers, and internal teams in a professional and timely manner.
- Assist colleagues with sales and service-related coordination.
- Help maintain a tidy, efficient office space while following company policies and safety requirements.
Qualifications and Skills
Applicants should bring strong communication and customer service ability, along with experience supporting office administration and administrative tasks. Comfort with basic accounting work, common office software such as MS Office, digital data entry, and record-keeping is important. The ideal candidate will be highly organized, detail-oriented, able to juggle multiple priorities in a busy setting, and capable of working well with diverse teams in a respectful, professional manner. Prior exposure to administrative work in scientific, educational, or healthcare environments is considered an added advantage. A diploma or bachelor’s degree in business administration, management, or a related area is preferred.
Qualifications
- Strong written and verbal communication skills, especially for dealing with clients, suppliers, and colleagues.
- Ability to provide effective customer service and handle inquiries professionally.
- Administrative support and office management experience for document, schedule, and workflow handling.
- Basic accounting knowledge for invoice and expense tracking.
- Proficiency with MS Office or similar productivity tools, plus data entry and electronic record management.
- Strong planning skills, careful attention to detail, and the ability to manage several tasks at once.
- Comfort working collaboratively across teams while maintaining a courteous and professional attitude.
- Experience in an office support role within scientific, educational, or healthcare settings is an advantage.
- Preferred education: diploma or bachelor’s degree in business administration, management, or a related discipline.
