Role Overview
We are looking for a seasoned and reliable Administrative Assistant to handle routine business operations, vendor coordination, and internal follow-up activities. The right person will be well-structured, proactive, and comfortable taking ownership of tasks with very little oversight in a busy workplace.
This position calls for excellent communication, a sharp eye for detail, and the ability to juggle several priorities at once while keeping deadlines and commitments on track.
Key Responsibilities
- Oversee day-to-day administrative and operational work across different teams.
- Monitor tasks, timelines, and active projects to make sure everything is completed on schedule.
- Chase pending items and send reminders to the appropriate people.
- Support coordination between teams so information flows clearly and efficiently.
- Work with vendors, suppliers, and external service partners.
- Handle contract discussions and help obtain the best possible commercial terms for the business.
- Keep records, reports, and files organized and accurate.
- Assist management with scheduling, coordination, and operational planning.
- Ensure day-to-day work aligns with internal processes and operating standards.
- Look for practical ways to improve efficiency and productivity.
Requirements
- A minimum of 8 years of experience in a similar coordination or operations-based role.
- Proven capability to work on your own with limited supervision.
- Strong organizational ability and the capacity to manage multiple tasks.
- Very good communication skills and strong English, both written and spoken.
- A careful, dependable, and well-organized approach to work.
- Quick to learn and able to adjust fast to new tools, processes, and responsibilities.
- Comfortable working under pressure and meeting tight deadlines.
- Strong background in vendor handling and negotiation.
- Good track record of monitoring tasks and following up consistently.
- Solid administrative and coordination experience.
