Role Overview
District Wharf Properties, LLC is looking for an Administrative Assistant to support its executive leadership team at The Wharf, a 3.3 million-square-foot mixed-use destination on the Potomac River in Washington, DC. The development brings together retail, residential, office, hotel, maritime, and entertainment components. This position reports to the Senior Business Operations Manager and the CEO and is based in the Southwest Washington, DC office with regular in-person attendance required.
What You’ll Do
- Support the CEO, the SVP of Investment Management, and other executives with day-to-day administrative needs.
- Keep shared kitchen and office areas stocked, orderly, and clean.
- Arrange meetings by booking rooms, setting up AV and teleconferencing, sending invitations, preparing agendas, and recording and sharing notes.
- Maintain both digital and paper filing systems, order supplies, and manage document retention processes.
- Coordinate document signing workflows through tools such as DocuSign, track progress, and follow up on pending signatures.
- Be willing to become a notary with company support.
- Process incoming and outgoing mail and packages through USPS, UPS, and other carriers to ensure timely handling.
- Assist with internal events, employee recognition activities, and cross-team engagement efforts.
- Look ahead to anticipate needs and suggest improvements that make daily operations run more smoothly.
- Organize travel and reservations for conferences and board meetings.
- Coordinate with other internal teams to keep communication clear between executives and staff.
- Arrange catering for internal events.
- Take on additional tasks and projects as assigned.
What We’re Looking For
- An associate’s degree or an equivalent combination of education and experience is required; a bachelor’s degree in Business Administration or a related area is preferred.
- At least 3 years of experience in administrative or office support roles.
- Strong written and verbal communication skills.
- Excellent attention to detail and the ability to juggle several tasks and priorities at once.
- A warm, professional manner with strong phone and email etiquette.
- Good time management, organization, and flexibility when priorities change.
- A strong commitment to confidentiality and professional conduct.
Physical Requirements
This role requires the ability to lift up to 30 pounds. The workday is estimated to involve sitting for 60%, standing for 20%, and walking for 20%. Reasonable accommodations may be available for qualified individuals with disabilities.
Compensation and Benefits
The salary range for this position is $60,000 to $67,000 per year.
