Job description

Role overview

Prosci is hiring a meticulous and proactive Accounts Payable Specialist to join its Global Finance team and report to the Vice President of Accounting. In this position, you will help ensure that AP transactions are processed accurately and on time while staying aligned with company policies, internal controls, and relevant tax and regulatory obligations.

This opportunity is suited to someone who performs well in a fast-moving, complex setting, keeps work highly organized, and builds strong working relationships with internal stakeholders and outside vendors across a multi-entity, multi-currency environment.

Founded in 1994, Prosci focuses on change management and supports organizations through training, advisory services, licensing options, and the ADKAR® model, including its AI change management coach, Kaiya. The company describes itself as purpose-driven, collaborative, and committed to continuous learning, growth, and meaningful impact.

Key responsibilities

  • Handle a high volume of vendor invoices by checking accuracy, confirming approvals, validating account coding, and following established procedures.
  • Support corporate card and expense report administration by reviewing transactions, reconciling statements, and helping employees resolve questions or issues.
  • Assist with weekly and monthly payment cycles, including ACH, wire, check, and international payments, while keeping vendor records current and responding professionally to vendor queries.
  • Contribute to month-end close work by preparing accruals, reconciling the AP subledger with the general ledger, and making sure expenses are recorded in the proper period.
  • Support tax and reporting compliance, including sales/use tax, VAT/GST/HST, and 1099/T4A requirements, and provide documentation needed for audits.
  • Take part in ongoing process improvement efforts to make AP and expense workflows more efficient, accurate, and streamlined.

Candidate profile

The role calls for someone who can manage multiple deadlines and high transaction volumes while consistently producing accurate results. You should be able to organize and prioritize work ahead of time, communicate clearly and professionally, collaborate across teams, and use sound judgment when handling issues or escalating concerns. A continuous-improvement mindset is important.

Technical and functional requirements

Applicants should have experience with ERP platforms such as Business Central, NetSuite, SAP, Oracle, Workday, or similar systems. Strong Excel skills are needed, including pivot tables, VLOOKUP/XLOOKUP, and data analysis. Experience with AP automation or invoice-processing tools such as Tipalti, Coupa, AvidXchange, or Stampli is considered an advantage. The role also requires strong accuracy, attention to detail, and solid organizational ability.

Qualifications

  • At least 3 years of accounts payable experience, ideally in a multi-entity environment.
  • Good knowledge of AP processes, tax compliance, and vendor documentation.
  • Ability to work extended hours when month-end or year-end close requires it.

Additional information

This is a remote position within the United States, with a preference for candidates in the East Coast time zone. Travel is minimal, up to 2 times per year, for company events or team meetings.

The projected annual base salary range for this role is USD 50,000 to USD 60,000, depending on qualifications and experience. The position is eligible for the company bonus program.

Prosci offers a benefits package that includes flexible paid time off, holidays, volunteer time, medical, dental, and vision coverage, short-term and long-term disability, life insurance, pet insurance, a 401(k) with company matching, and access to LinkedIn Learning.

The company describes its culture as mostly virtual, with opportunities to collaborate with colleagues globally, join employee-led interest and resource groups, and attend local or market-wide in-person events. Prosci also states that it is an equal opportunity employer committed to inclusion and diversity, and that applicants who need disability-related assistance may contact applicantsupport@prosci.com.

Prosci encourages applications even from candidates who do not meet every listed requirement.
