Role overview
Children’s Healthcare of Atlanta is looking for a Recruiting Onboarding Coordinator to support a smooth, high-quality experience for new hires from pre-boarding through day one. This position focuses on coordinating onboarding activities, guiding candidates through required steps, and making sure all processes align with company policies, legal requirements, and system-of-record documentation standards.
This is a day shift role on Monday through Friday, with working hours from 8:00 AM to 4:30 PM. It is a regular full-time position based onsite in Brookhaven, GA.

What you will do
In this role, you will manage the full onboarding journey for new hires, coordinate required appointments and orientations, and serve as a main point of contact for onboarding questions. You will work closely with HR, recruiting, security, learning teams, and hiring managers to support a seamless first day and ensure onboarding stays on track.
The position also includes compliance oversight, data accuracy, documentation management, and careful handling of sensitive situations such as background check issues, employment eligibility questions, and potential start-date changes or rescinds. You will be expected to communicate with professionalism, empathy, and discretion.

Responsibilities
- Coordinate end-to-end onboarding planning, including system orientation schedules and the complete pre-hire to day-one experience.
- Arrange new hire orientations, pre-employment health screenings, security appointments, and background screening clearance steps.
- Act as the go-to contact for new employees and help them navigate onboarding requirements and next steps.
- Work with HR, recruiting, security, learning, clinical learning, and hiring managers to create a smooth first-day experience.
- Track onboarding workflows and service-level commitments, escalating risks early to avoid delays.
- Maintain new hire roster processes to communicate training requirements to the right teams.
- Ensure onboarding practices comply with applicable federal, state, and local employment laws, Joint Commission standards, accrediting requirements, and internal policies such as I-9, E-Verify, background checks, drug screening, and MVRs.
- Review and confirm completion of required documents, including offer letters, agreements, policy acknowledgments, and confidentiality forms.
- Keep onboarding process documentation current and accurately recorded in the system of record.
- Maintain precise HRIS/ATS records and digital personnel files to support data integrity and audit readiness.
- Assist with internal and external audits by supplying records and responding to questions.
- Perform primary source verification for new external hires, including monitoring licensure and certification requirements.
- Handle confidential conversations about background check results, adverse findings, additional documentation requests, start-date adjustments, and rescinds in line with policy and legal guidance.
- Explain policies and next steps in a respectful, clear, and nonjudgmental way using a consultative approach.
- Coordinate with HR leadership and Legal to ensure consistent and compliant communication in complex cases.
- Protect sensitive information and maintain confidentiality at all times.
- Serve as a trusted partner to hiring managers by advising on onboarding timing, expectations, and best practices.
- Spot recurring onboarding challenges and recommend ways to improve efficiency, compliance, and candidate experience.
- Help create and update onboarding materials, templates, FAQs, and training resources for managers and new hires.
Requirements
- At least 2 years of experience in customer service, human resources, or talent acquisition.
- Prior experience in a recruitment or onboarding specialist role is preferred.
- Experience supporting employee engagement or employee experience initiatives is preferred.
- Working knowledge of Workday is preferred.
- Bachelor’s degree is preferred.
- No professional certification is required.
- Strong communication ability with a professional and empathetic approach.
- Excellent attention to detail, follow-through, and problem-solving skills.
- Good judgment in handling decisions and sensitive situations.
- Ability to identify process improvement opportunities and suggest practical changes.
- Strong planning, organization, and project coordination skills.
- Solid computer skills, including PowerPoint and Excel.
- Comfort with data and analytical work.
- Ability to juggle multiple priorities in a fast-moving environment.
