Role Overview
The Procurement & Product Coordinator will oversee the planning, coordination, and delivery of SPF’s Editions, procurement, and product-focused initiatives. This position acts as a central point of contact among Design, Project Management, Operations, vendors, fabricators, showrooms, artists, and suppliers to ensure that physical project materials are sourced, produced, monitored, delivered, and installed according to scope, budget, and timeline.
This role supports SPF’s luxury hospitality and residential work by maintaining strong organization, quality control, service standards, and dependable execution, while also helping expand and sustain the Editions collection.
The position is well suited to someone who is highly organized, self-directed, and detail-focused, with solid experience in procurement, production, and logistics, and who is comfortable handling several complex priorities in a dynamic creative setting.
Credentials and Qualifications
- At least 5 years of experience in FF&E procurement, procurement coordination, product operations, hospitality procurement, or a similar function.
- Background in luxury hospitality, luxury residential, furniture, or interior design settings is strongly preferred.
- Proven ability to manage purchase orders, procurement workflows, logistics, and vendor relationships with minimal supervision.
- Experience with custom furniture, fabrication workflows, and shop drawing review is highly desirable.
- Hands-on experience coordinating deliveries, installations, and quality checks.
- Strong organizational, communication, and interpersonal abilities.
- Advanced capability with Microsoft Office Suite, especially Excel.
- Prior exposure to procurement tracking tools, budgeting systems, and project management software is preferred.
- A genuine interest in design, furniture, craftsmanship, art, and creative culture.
- Based in Toronto and able to work regularly from the studio.
Responsibilities
The role covers four main areas of responsibility:
- Editions and Product Operations: Manage orders, production timelines, logistics, and deliveries for SPF Editions; coordinate with vendors, fabricators, suppliers, and showrooms; monitor production schedules, shop drawings, and quality standards; support installations and follow-up work after installation; and help refine workflows and vendor relationships.
- Procurement and FF&E: Coordinate sourcing and purchasing of FF&E, artwork, and accessories; handle purchase orders, budgets, schedules, and procurement records; oversee shipping, warehousing, receiving, and installation coordination; work closely with vendors, consultants, and project teams; and resolve issues related to procurement, logistics, and delivery.
- Artwork and Accessories: Coordinate the sourcing, framing, shipping, and installation of artwork and accessories; liaise with artists, galleries, consultants, and vendors; track deadlines and maintain quality through execution; and support the rollout of approved design selections.
- Operations and Studio Support: Coordinate across Design, Project Management, and Operations; assist with director-led initiatives, planning, and special projects; contribute to process optimization and operational efficiency; and support additional studio-wide needs as required.
In addition, the coordinator is expected to work independently, manage multiple concurrent procurement and production efforts, maintain strong attention to detail, identify risks and improvement opportunities early, communicate professionally with internal and external partners, protect design intent and quality, build effective vendor and project team relationships, and contribute positively to SPF’s collaborative, hospitality-oriented environment.
