Role overview
IMDA is hiring a Personal Assistant to deliver end-to-end administrative and operational support to Directors and their divisions. The role calls for someone who can keep schedules organised, coordinate logistics, and help ensure the smooth running of day-to-day office and divisional activities.
Key responsibilities
- Take ownership of a wide range of secretarial tasks, including calendar coordination and meeting scheduling for Directors.
- Support Directors with processing and tracking expense claims.
- Gather agenda inputs from the relevant divisional stakeholders, then prepare and circulate meeting agendas and supporting materials ahead of meetings.
- Work closely with team members to deliver effective operational support, such as maintaining an organised filing system, arranging meeting rooms, handling payment requests, coordinating travel, and supporting budget-related administration.
- Serve as the contact point for onboarding preparations for new joiners and assist with exit clearance procedures for staff leaving the organisation.
- Coordinate logistics and provide support for divisional events and programmes, including team-building activities.
- Step in to cover the duties of other Personal Assistants when needed, including during leave periods.
- Handle additional tasks and ad-hoc assignments as required.
Required background and attributes
The ideal candidate should bring more than 5 years of relevant experience in office management and administrative support. Exposure to public sector work would be considered an advantage. The role also requires strong organisational ability, the capacity to manage deadlines with limited supervision, and the judgement to handle confidential information with discretion.
