Role Overview
This position reports to the Chief Operating Officer and has a dotted-line reporting relationship to the HR Director for South Asia, Oceania, and India. The role is responsible for the smooth running of several operational areas, including health and safety, facilities, human resources, information technology, office services, and event coordination.
You will also provide executive-level administrative support whenever required.
Health and Safety
- Act as the PCBU representative for the company and ensure compliance with the Health and Safety at Work Act 2015.
- Lead regular health and safety committee meetings and prepare the minutes and follow-up actions.
- Identify improvements needed to keep employees and visitors safe on site and put those changes into place.
- Ensure all new staff complete health and safety inductions on time and that existing staff refreshers are updated when due.
- Review and source suitable health and safety training for employees based on their roles.
- Compile a monthly health and safety update for the COO to be included in the board report.
- Organise bi-annual external health and safety audits and work with outside consultants as needed.
Facilities Management
- Manage the New Zealand building WOF and ensure all routine checks are completed for full certification at year-end.
- Maintain the building security alarm code and internal access system, including adding new employees and granting access to appropriate areas.
- Track repair and maintenance needs and escalate landlord-related issues to the CFO.
- Oversee all external contractors on site and ensure they follow contract terms, safety requirements, and quality expectations.
- Coordinate office fit-outs, small renovation projects, and workstation reconfigurations.
- Keep the workplace compliant with building safety obligations such as fire safety and electrical testing.
Human Resources Support
- Support recruitment administration by guiding hiring managers through requisition processes and helping create or update requisitions in the system.
- Arrange interviews and manage communication between candidates and hiring managers.
- Track hiring progress and follow up to keep recruitment timelines on schedule.
- Complete reference checks when needed.
- Support onboarding by arranging workstations, coordinating orientation, and delivering health and safety briefings.
- Act as the first contact for employees on site and direct them to the appropriate HR contacts.
- Assist with everyday employee queries, such as bank account setup and similar administrative matters.
- Maintain regular communication with the HR team to help resolve employee issues promptly.
- Liaise with universities each year to support internship programme participation and maintain partnerships.
- Work with hiring managers to raise requisitions in Thrive.
- Keep the HR team informed about labour law updates and country-specific policy changes to support compliance.
- Support the exit clearance process for employees leaving the site, following the checklist and established process and aligning with TER and HRSC requirements.
Executive Support
- Provide administrative assistance to the executive team, including scheduling, project support, meeting attendance, and minute-taking when needed.
Information Technology
- Handle day-to-day IT needs for the business, including peripherals, access management, approved software licences, and employee on-boarding and off-boarding.
- Work directly with the company’s external IT consultants.
Events
- Plan and deliver both on-site and external company events as part of the events team.
- Share event information and encourage attendance.
- Coordinate event logistics and manage operations on the day.
- Review event outcomes after completion and identify improvements for future events.
General Office Administration
- Order office and kitchen consumables such as stationery and supplies on a regular basis.
- Oversee day-to-day office activity so the workspace remains clean, safe, functional, and aligned with company standards.
- Coordinate routine repairs and maintenance, hygiene services, and waste or recycling programmes.
Candidate Profile
The ideal person is organised, dependable, and comfortable managing a wide range of responsibilities across administration, operations, and support functions. Strong confidentiality, attention to detail, and the ability to build effective working relationships are essential.
You should be able to manage priorities, switch between tasks, and work to deadlines. Strong written and verbal communication skills are important, and project management capability would be an advantage.
Applicants must be based locally to the job location, as relocation support is not available for this position.
