About the Company
NU Media is a New York City–based international digital agency and investment firm. The company works with ambitious brands to combine bold digital platforms with marketing strategies that are designed to drive growth through strong storytelling, data-led execution, and scalable online solutions.
As a rapidly expanding organization, NU Media is continually creating new systems, rolling out fresh initiatives, and refining the way it operates. The team values people who enjoy tackling complex challenges, taking ownership, and helping shape the company’s next stage of growth.
About the Role
NU Media is hiring a highly motivated Executive Assistant (Operations) to support the operations team. This is an operations-driven position rather than a conventional administrative assistant role.
The role centers on execution: coordinating cross-functional initiatives, helping solve operational issues, and keeping projects moving efficiently across the business. You will work closely with leadership, gaining exposure to scalable operating systems while gradually taking on greater company-wide responsibility.
This opportunity is well suited to someone with strong execution ability, a deep sense of ownership, and the ambition to grow into an operational leadership path.
Responsibilities
- Drive the progress of company-wide projects and strategic initiatives from planning through completion.
- Check in with teams to confirm deadlines and deliverables stay on track.
- Support communication across departments so work continues smoothly and efficiently.
- Help create, refine, and document workflows, SOPs, and internal processes.
- Assist in building execution frameworks by organizing responsibilities, timelines, workflows, and resource coordination for complex projects.
- Develop systems that improve accountability, efficiency, and operational scalability across teams.
- Spot operational slowdowns and shape long-term solutions instead of short-term patches.
- Track project status, identify risks early, and address issues before they grow.
- Continuously look for ways to strengthen collaboration, execution, and operational performance.
- Back leadership in implementing strategic priorities and scaling the organization.
Qualifications
Applicants should have 1–3 years of experience in operations, project coordination, account management, consulting, or a similar field.
The role calls for strong marketing judgment, meaning you should quickly understand what is effective, what is not, and what operational support is needed for successful marketing execution, even if you are not producing the content yourself.
Bilingual ability in English and Mandarin is preferred.
You should be highly organized, detail-oriented, and strong at solving problems and thinking critically. Clear written and verbal communication, a proactive approach, a strong sense of ownership, and the ability to handle multiple priorities in a fast-moving environment are all important.
A quick learning ability and growth mindset are also valued. Experience with Google Workspace, Notion, Asana, ClickUp, Monday.com, Slack, or similar tools is helpful. Familiarity with AI tools such as ChatGPT, Claude, or Gemini is considered a strong advantage.
Working Style
This position is outcome-focused and requires a high level of accountability. Success is measured by execution, impact, and results rather than fixed hours.
The work environment is fast paced and priorities can shift quickly. Flexibility is important, and there may be occasions when evening or weekend availability is needed to support urgent projects or business needs.
The company is looking for someone excited to grow with the business, enjoys solving problems, and is willing to go the extra mile when required.
Ideal Candidate
The ideal person thrives on execution and takes ownership without needing constant supervision.
You should be structured, process-oriented, and able to balance precision with sound judgment. Rather than following processes mechanically, you understand their purpose, improve them when needed, and adapt as situations change.
Strong candidates will enjoy solving operational problems, improving workflows, juggling several priorities while maintaining a high level of accuracy, and holding others accountable when needed.
You should think ahead, identify risks before they become issues, learn quickly, adapt easily, communicate professionally across teams, and maintain high standards so important details do not slip through the cracks.
The role may suit people whose working style reflects strong organization, discipline, and execution tendencies. MBTI is not a hiring requirement, but these traits are often a good fit for the position.
