Role overview
We are hiring an experienced Executive Assistant to support the Middle East office. This role works independently to keep administrative priorities on track by coordinating closely with senior team members in the region and partnering with other teams across the organization to help drive departmental work.
The position focuses on Dubai office coordination, travel planning, meeting support, schedule management, and basic reporting. It is a high-trust role that calls for strong organization, sound judgment, discretion, and the ability to work smoothly across time zones while interacting professionally with colleagues, clients, and other external stakeholders in the region and globally.
The ideal candidate is proactive, collaborative, and comfortable stepping in wherever administrative support is needed. A strong commitment to confidentiality and polished communication is essential. Fluency in Arabic is a strong advantage.
Key responsibilities
- Manage interactions with internal and external stakeholders in a polished, confidential, and professional manner.
- Keep calendars current and coordinate meetings and conference calls.
- Arrange complex regional and international travel, including visas and detailed trip plans.
- Maintain correspondence, records, documents, and filing systems in an orderly way.
- Book travel, confirm arrangements, prepare itineraries, and monitor travel plans to address any issues quickly.
- Prepare and submit expense reports promptly.
- Research, gather, and assess information and materials from online and other sources.
- Draft correspondence, documents, and spreadsheets as needed.
- Collect and organize materials for meetings and presentations.
- Support general office operations and coordinate with HR, Finance, and IT teams.
Required qualifications
- Bachelor’s degree or an equivalent mix of education and experience.
- Strong planning, organization, and time-management skills with the ability to set priorities effectively.
- Proven ability to handle multiple tasks at once while maintaining accuracy and close attention to detail.
- Dependable, with sound judgment and a proactive approach to solving problems.
- Professional presence, strong communication skills, and good interpersonal ability.
- Strict adherence to confidentiality requirements.
Experience and language expectations
You should bring at least six years of Executive Assistant experience in a similar position supporting executives and clients. Prior exposure to stakeholders in the Middle East is strongly preferred. Experience in fast-moving environments and across different time zones is also important. Background in financial services, investment management, professional services, or government-related settings is an added advantage. Strong English fluency is required, and Arabic is a significant plus.
