Position overview

The City of Mississauga is seeking a Contracts Administrator to support the Facilities Service Operations team. Reporting to the Manager, Facilities Service Operations, this person will manage the daily administration of service agreements and vendor relationships across several municipal facilities. The role focuses on keeping cleaning, custodial, and janitorial contracts running smoothly, safely, and reliably so the facilities continue to serve employees and the public effectively. The successful candidate will also take part in procurement activities related to these services.

Key duties

  • Prepare work orders from service requests and issue them as needed.
  • Review and process vendor invoices.
  • Carry out site visits to assess new issues and follow up on ongoing concerns.
  • Coordinate work schedules and activities with vendor personnel.
  • Complete planned and ad hoc inspections.
  • Maintain accurate inspection logs and contract documentation.
  • Develop, maintain, and administer service contracts.
  • Monitor and control contract budgets.
  • Support the tendering process for service contracts.
  • Inspect sites to confirm contractors have the tools and equipment needed to complete work safely and in line with applicable health and safety requirements.
  • Assist with other duties as required.
  • Provide occasional support on projects and initiatives within the unit or team.

Requirements and qualifications

  • Post-secondary education is required.
  • At least 3 to 5 years of experience in cleaning, janitorial, or custodial services.
  • Strong verbal and written communication abilities.
