Job Purpose
This role supports management with day-to-day administration and coordination. It involves keeping operations organized, monitoring task progress and decisions, and ensuring smooth communication between departments so work is delivered efficiently and within deadlines.
Key Responsibilities
- Plan and coordinate calendars, meetings, and appointments.
- Draft agendas, document meeting notes, and ensure follow-up on agreed action points.
- Work with internal teams to monitor progress and close assigned tasks on time.
- Prepare formal letters, internal correspondence, and other administrative paperwork.
- Compile periodic reports and support the creation of presentation materials.
- Keep both paper and digital records well structured and up to date.
- Track the completion of administrative requests and related processes.
- Liaise with internal stakeholders and outside contacts whenever needed.
- Monitor purchase requests, quotes, agreements, and approval workflows.
- Support the coordination of meetings, events, and workshops.
- Handle administrative messages and correspondence.
- Look for ways to streamline office procedures and improve workflow efficiency.
- Carry out other duties assigned by the direct manager that fall within the scope of the position.
Qualifications
The position requires a bachelor’s degree in Business Administration, Public Administration, Office Management, or a closely related discipline, along with at least 3 years of experience in administrative support, coordination, or executive assistance. Experience in a corporate setting is an advantage.
