Role overview
This is a fully remote legal support position based in the United States and handled on behalf of a partner employer. The role operates in a busy, detail-sensitive legal environment where accuracy, discretion, and quick turnaround are essential. You will assist several law firm offices by managing confidential legal and administrative materials in a highly organized, deadline-focused workflow.
The position involves working entirely in digital systems, with responsibilities spanning document processing, organization, and certain financial administration tasks. It is designed for someone who is comfortable with structured workflows, high document volumes, and measurable performance expectations. Training will be provided, and the role offers the chance to deepen experience in legal operations and document handling.
Key duties
- Receive, process, and organize confidential legal files from multiple firm offices while keeping accuracy and timeliness in focus.
- Maintain client case lists and keep information consistent across legal tracking platforms.
- Download, sort, and circulate incoming mail as well as electronic court filings using agreed naming standards.
- Handle financial support tasks such as vendor invoice processing and expense reimbursements through internal tools, including Chrome River.
- Carry out document preparation work such as PDF bookmarking, OCR conversion, and file format changes when required.
- Prepare and format legal documents using Microsoft Office applications and dedicated legal software.
- Keep documents properly stored and organized in the firm’s document management system, including iManage.
- Support additional administrative, production, and document-related projects across the legal support team as needed.
Requirements
- At least 1 year of experience in a law firm or legal support setting.
- Strong command of Microsoft Office tools, especially Word, Excel, and PowerPoint, along with advanced formatting and document handling ability.
- Exposure to legal document management platforms such as iManage is a strong plus.
- Experience with Chrome River, Kofax Power PDF, or comparable tools is beneficial.
- Careful attention to detail and the ability to handle large amounts of sensitive information responsibly.
- Clear written and spoken communication skills with a polished, professional approach in remote work settings.
- Ability to work independently in a structured environment with deadlines and metric-based expectations.
- Remote work experience or familiarity with collaboration tools like MS Teams is preferred.
