Role overview
This remote position supports executives and leadership teams with day-to-day administrative coordination. The role centers on keeping schedules organized, communication flowing smoothly, meetings well prepared, and operational tasks properly tracked so the leadership team can work efficiently.
Key responsibilities
- Manage executive calendars by arranging meetings, appointments, and reminders.
- Monitor incoming emails and other communications, sorting priorities and replying when suitable.
- Represent executives through clear, professional written communication.
- Coordinate correspondence across internal teams and external contacts.
- Track priorities, deadlines, and follow-up tasks to keep work moving on time.
- Organize action items from meetings and messages, then follow up to ensure completion.
- Support everyday administrative workflows and keep them structured.
- Record tasks and activities so work remains documented and easy to review.
- Handle meeting preparation, including agendas, supporting materials, and virtual meeting setup.
- Take meeting notes and share summaries or action points afterward.
- Arrange travel, lodging, and itineraries when needed.
- Make sure executive schedules stay aligned with business priorities.
- Prepare, format, and organize documents, reports, and presentations.
- Maintain well-structured digital records and files.
- Assist with data entry and information handling tasks.
- Keep records accurate, current, and easy to retrieve.
Requirements
- Strong spoken and written English communication skills.
- Prior experience in administration, executive support, or coordination is preferred.
