Role overview
This position sits within an administrative operations setting and focuses on strengthening staff capability across multiple sites. The person in this role will create and deliver effective training, provide practical guidance, and help ensure that administrative teams work to a consistent, compliant, and high-quality standard. The work also includes monitoring processes, supporting continuous improvement, and helping the department run smoothly in a busy, fast-moving environment.
Key responsibilities
- Design and roll out structured onboarding and induction plans for new hires so they can settle into the business quickly and confidently.
- Own the onboarding and probation journey for new starters, making sure expectations are clear, progress is reviewed regularly, performance concerns are addressed promptly, and probation reviews are completed on time.
- Oversee members of the administration team to support steady performance, ongoing development, and compliance with company standards.
- Provide regular coaching, guidance, and performance feedback, and escalate underperformance to the Administrative Operations Lead when appropriate.
- Hold routine check-ins with team members to offer support, direction, and constructive input.
- Keep training logs and competency records accurate and current, including records maintained in tools such as Smartsheets.
- Spot training shortfalls or performance issues early and deal with them in a constructive manner.
- Create, refresh, and improve training resources, standard operating procedures, and role-based reference materials.
- Drive consistency and standardisation across administrative processes and ways of working.
- Measure how well training and development initiatives are working and confirm that new skills are being applied in day-to-day tasks.
- Work with relevant stakeholders to identify ongoing learning and development needs.
- Support the Administrative Operations Lead in keeping departmental operations running efficiently.
- Help assess and improve workflows to increase productivity and reduce inefficiencies.
- Make sure policies and procedures are understood and followed by all staff.
- Track key performance indicators and monitor departmental performance.
- Step in for the Administrative Operations Lead when needed.
- Attend weekly management meetings in the Lead’s absence and record minutes where required.
- Encourage a team culture built on accountability, collaboration, and continuous improvement.
- Ensure all administrative work aligns with organisational policies, GDPR, and recognised best practice.
- Maintain a professional, orderly, and compliant working environment.
- Carry out additional duties as reasonably needed.
Qualifications and experience
- At least 4 years of experience in a comparable role, preferably in a growing healthcare or professional services environment.
- Train the Trainer certification is beneficial.
- Hands-on experience creating and delivering training programmes, including evaluation and measurement methods.
- Background in staff training, supervision, and mentoring.
- Strong knowledge of administrative processes, scheduling tools, and workflow coordination.
- High proficiency in Microsoft Office applications, including Word, Excel, and Outlook, plus database management.
- Experience using patient systems such as DGL or MediSight is helpful, though not essential.
- Ability to manage multiple priorities and produce high-quality work in a pressured setting.
- A full, clean driving licence is required, as occasional travel between sites may be necessary.
