Procurement Coordinator – Q-Commerce Dark Stores

About the Role

The Procurement Coordinator supports daily buying activity across Snoomart’s dark store network. The position plays a central role in keeping stock replenished on time and in the right quantities, while serving as the main operational contact between suppliers and internal stakeholders. The role also assists the Inventory Head in sustaining strong availability and service performance across all product groups.

This job requires a fast pace, a high level of accuracy, and strong coordination to succeed in a Q-Commerce setting.

Core Responsibilities

• Raise and monitor daily purchase orders for the assigned product groups, including Fresh, Grocery, Personal Care, Home Care, and Non-food items.
• Review inventory levels in the system and escalate shortages, overstock situations, and expiry risks to the Inventory Head.
• Coordinate with suppliers on purchase orders, delivery progress, delivery notes, and invoice correctness.
• Record and update delivery confirmations in the system to support accurate Finance reconciliation.
• Align daily replenishment plans with forecast needs and availability targets above 85%.
• Track supplier performance indicators such as OTIF, fulfillment rate, substitution rate, and out-of-stock rate.
• Share regular updates that give visibility into supplier execution and service levels.
• Prepare daily and weekly reports covering purchase order progress, stock availability, and supplier performance.
• Surface risks related to availability, excess inventory, or system mismatches to the Inventory Head.

Requirements

• A bachelor’s degree in Business, Supply Chain, or a related discipline.
• 1 to 3 years of experience in procurement, buying, or supply chain; experience in FMCG or retail is preferred.
• Working knowledge of ERP platforms, with Odoo preferred.
• Strong ability in Excel and Google Sheets.
• Clear communication and solid coordination abilities.
• Analytical mindset with attention to detail.
• Comfort working in a fast-moving Q-Commerce environment.
