About the Role

This opening sits within Finance & Corporate Services and is an entry-level position.
What You’ll Do
- Deliver day-to-day administrative support to EMEA management as required.
- Maintain a professional, welcoming front desk and office experience for employees, guests, vendors, and deliveries.
- Receive, sort, and scan incoming mail and parcels, and handle local as well as international shipments from Saudi Arabia.
- Log and escalate routine maintenance concerns to the landlord or the appropriate internal contact.
- Handle simple facilities requests through the ticketing system, such as stationery replenishment and access-related needs.
- Support EMEA office programs, including weekly lunches, kitchen vending, and parking coordination.
- Coordinate temporary and permanent access with building security for employees and visitors.
- Review and approve facilities invoices for KSA and UAE in Coupa as the first approver, confirming charges and service completion.
- Identify, source, and onboard local facilities vendors in Coupa.
- Track stationery stock, place replenishment orders, and distribute supplies across the office.
- Support executive visits and events on site, including room preparation and catering arrangements for meetings.
- Assist with onboarding and offboarding activities such as desk allocation, access card setup, and office welcome coordination.
- Provide remote administrative support to the Dubai and Israel offices when needed.
- Travel occasionally to Dubai and Israel as required, subject to management approval.
- Take on additional facilities-related project work when needed, which may include evening or weekend overtime.
Working Hours
The schedule is Sunday to Thursday, from 09:00 to 17:00.
Requirements
- At least 5 years of experience in office coordination, administration, or a closely related role.
- Strong spoken and written English and Arabic, which are essential for vendor coordination and government-related interactions.
- A valid passport and the ability to travel between Saudi Arabia and the UAE.
- Excellent interpersonal and customer service skills, with a positive approach to supporting employees and visitors.
- Good organisation, multitasking ability, and the capacity to prioritise everyday tasks efficiently.
- A professional, flexible attitude and the ability to work independently with guidance.
- Familiarity with tools such as Coupa, ServiceNow, G-Suite, Slack, SpaceIQ, Envoy, Workday, and FedEx is helpful; training will be provided.
