Health Coalition Aotearoa is seeking a Marketing and Operations Coordinator to act as the central support person across communications, digital systems, events, and day-to-day coordination. This position combines hands-on marketing capability with strong operational and administrative support, helping the organisation deliver advocacy, stakeholder engagement, and public health communications effectively.

Key responsibilities

  • Maintain and improve HCA’s design templates so brand presentation stays consistent across all materials.
  • Develop digital content such as social media graphics, promotional visuals, and event-specific marketing pieces.
  • Support the production of major publications such as the Prevention Brief and the State of Prevention Report collateral.
  • Run email marketing activity through Mailchimp, including campaign delivery, audience management, and reporting on results.
  • Keep stakeholder records updated in Salesforce CRM and assist with data migration or integration where required.
  • Manage website content updates and maintain an accurate digital communications calendar.
  • Plan and coordinate events from start to finish, including supplier liaison, speaker coordination, logistics, and detailed run sheets.
  • Set up and administer event registrations using Eventbrite and LilReggie.
  • Produce and host webinars and large virtual events using Zoom, managing audio-visual and digital requirements across online, hybrid, and in-person formats.
  • Create event templates, briefing materials, and post-event reporting tools aligned with HCA’s kaupapa.
  • Administer Microsoft 365 systems, including Exchange email configuration, backend setup, user account creation, and general IT troubleshooting.
  • Manage file sharing and collaboration tools such as OneDrive and SharePoint.
  • Oversee password security using Dashlane and support onboarding for new team members.
  • Handle onboarding and offboarding processes for staff and maintain smooth HR logistics.

  • Strong hands-on capability with Microsoft 365, including Exchange administration, backend configuration, OneDrive, SharePoint, Word, Excel, and PowerPoint.
  • Advanced Canva capability for design, template building, and publication layout.
  • Practical experience running email campaigns in Mailchimp.
  • Experience using HubSpot CRM and/or Salesforce to manage stakeholder information and relationships.
  • Familiarity with Eventbrite, LilReggie, or similar registration tools.
  • Confidence using Zoom to deliver webinars and large-scale virtual events.
  • Proven experience managing events across the full lifecycle, including suppliers, logistics, and run sheets.
  • Experience supporting onboarding and offboarding in a small organisation.
  • Background in a member-led, coalition, or highly stakeholder-focused environment.
  • Excellent written communication skills and the ability to produce polished content independently.
