Role Overview
This Lease Administrator role supports the company’s real estate portfolio by helping manage lease compliance, keeping occupancy costs under control, and supporting long-term occupancy across restaurant locations. The position works closely with internal teams across property management, finance, legal, operations, and construction, as well as with landlords and their representatives.
Key Duties
- Review lease terms and interpret the language to identify the correct next steps, confirm key dates, prepare stipulations, arrange recurring Common Area Maintenance, tax, and insurance payments, and complete system setup for new restaurant openings.
- Process monthly rent along with off-cycle and one-time payments accurately and on time, while preparing related support reports.
- Track tenant improvement allowance activity, collect the required backup, and invoice, receive, and process those payments.
- Summarize and abstract lease renewals and amendments each month.
- Set up anticipated rent payments in advance to support accrual reporting.
- Review sales information together with lease terms to calculate percentage-rent payments correctly.
- Audit landlord statements and invoices, then confirm payments align with the lease agreement.
- Work with landlords and internal stakeholders to resolve issues caused by escrow adjustments, unapplied or misapplied payments, utilities, and similar discrepancies.
- Handle landlord communications regarding lease matters and disputes, and help drive matters to resolution.
- Protect occupancy costs by completing annual operating expense reviews and CAM reconciliations to verify landlord compliance with lease terms.
- Understand different rent-payment structures and ensure reporting and payments remain accurate and timely.
- Review lease obligations with business partners and share insights that support informed decisions throughout the lease term.
- Help improve departmental efficiency and assess the business impact of process changes while providing practical, actionable insights.
- Maintain electronic lease records and documentation.
Required Background
The role calls for a bachelor’s degree or an equivalent combination of education and 3 to 5 years of experience in commercial real estate lease administration, property management, or a related area. Experience in restaurants or retail is preferred. Candidates should be comfortable using Microsoft Excel, have the technical ability to work with lease administration systems and software, and understand core lease and real estate terminology. Strong analytical, communication, and math skills are important, along with excellent organization, attention to detail, professionalism, and interpersonal ability.
Compensation and Benefits
The estimated base salary range for this position is $67,000 to $95,500 per year. In addition to base pay, the role is eligible for annual cash bonuses and equity awards, depending on performance and other factors. The total rewards package also includes medical, dental, and vision coverage, a 401(k), sick leave, vacation time, and additional benefits.
