Opportunity Overview
A multinational organisation is looking for a seasoned Executive Assistant to support a group of Regional Senior Leaders in Singapore. This role is suited to a highly organised, proactive professional who can operate effectively in a busy, international setting.
You will act as a dependable partner to senior executives, helping keep daily operations running smoothly and supporting leadership activities across several markets.
Key Responsibilities
- Oversee demanding calendars for a group of Regional Directors operating across different countries and time zones.
- Arrange both virtual and face-to-face meetings with internal teams and external contacts.
- Stay ahead of calendar clashes, balance shifting priorities, and manage executive inboxes when needed.
- Serve as the main point of contact between senior leaders and key stakeholders inside and outside the organisation.
- Plan business travel within the region and internationally, including flights, hotels, visas, and detailed itineraries.
- Track travel spending, purchase orders, and related budgets.
- Follow company travel guidelines while ensuring schedules are planned efficiently.
- Coordinate leadership meetings, conferences, town halls, and team events across the region.
- Handle venues, catering, audio-visual setup, meeting packs, and agenda preparation.
- Draft meeting notes, follow up on action points, and monitor next steps after events.
- Assist with event reviews and identify ways to improve future processes.
- Prepare, polish, and format presentations, reports, correspondence, and other business materials.
- Treat confidential information carefully and professionally at all times.
- Keep records and administrative files well organised and up to date.
- Carry out research and compile information to help support business decisions.
- Support regional initiatives and special projects with administrative coordination.
- Look for practical ways to improve administrative workflows and team productivity.
- Liaise with external suppliers for regional events and leadership-related activities.
- Develop strong working relationships with internal teams and outside partners.
Requirements
- At least 6 to 8 years of experience as an Executive Assistant or in a senior administrative role, ideally supporting regional or C-suite leaders in a multinational company.
- Experience handling the needs of several executives in a fast-moving, international environment.
- Strong planning, organisation, and time management abilities, with the capacity to juggle competing priorities.
- Excellent communication and people skills, with the confidence to engage stakeholders at all levels.
- A high degree of professionalism, integrity, and discretion when managing sensitive information.
- Strong working knowledge of Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook, as well as calendar tools.
- Ability to work independently, stay resourceful, and collaborate well with others.
- A bachelor’s degree or equivalent practical experience is preferred.
- Knowledge of additional languages would be an advantage.
