Role Summary
The Customer Service & Operations Coordinator is the key contact for customer orders, supplier coordination, and everyday operational assistance. This position partners with Sales, Marketing, Finance, Warehousing, Logistics, and outside vendors to keep orders moving, invoices accurate, inventory visible, and customers well supported.
The right candidate is well organized, service-oriented, detail-driven, and able to juggle several priorities in a busy environment.
Customer Service and Order Management
- Act as the main contact for questions about orders, product details, pricing, shipment progress, and account-related support.
- Enter, monitor, and manage customer sales orders from receipt through final delivery.
- Work with warehouse and logistics teams to support accurate, on-time shipments.
- Keep order files and related documentation complete and accurate.
- Address customer concerns and route more complex issues to the right stakeholders when needed.
- Assist Sales and Marketing with customer communications, meeting setup, and general administrative support.
Purchasing and Vendor Coordination
- Prepare, update, and follow purchase orders through the process.
- Coordinate with suppliers on product availability, pricing, order progress, and delivery timing.
- Maintain well-organized purchase order records and supporting paperwork.
- Help track supplier performance and support ongoing vendor relationships.
- Assist with contract administration and supplier communication as required.
Operations and Supply Chain Support
- Track production schedules, inbound shipments, and stock levels to help maintain product availability.
- Serve as a connection point between internal departments, vendors, warehouses, and logistics partners.
- Partner with Regulatory, Quality, and Marketing teams to support labeling, specification, and documentation compliance.
- Contribute ideas for process improvements that increase efficiency and improve the customer experience.
Financial and Administrative Support
- Submit vendor invoices and follow them through to help ensure timely payment.
- Support invoice matching, reconciliation, and related recordkeeping.
- Keep operational reports and records accurate and up to date.
- Assist with department projects and other administrative tasks as assigned.
Inventory Management
- Support inventory tracking and reporting activities.
- Help coordinate and take part in annual physical inventory counts.
- Assist with inventory checks and reconciliation work when needed.
Qualifications
Applicants should have a bachelor’s degree or equivalent professional experience. The role typically requires 3 to 5 years of background in customer service, operations, order processing, supply chain support, or a similar area. Strong organization, the ability to manage multiple tasks, clear written and verbal communication, accuracy, and proficiency with Microsoft Excel and the Microsoft Office suite are important.
Preferred Experience
Experience with ERP platforms, order management tools, or inventory systems is preferred. Familiarity with suppliers, warehouses, or logistics providers is also valuable. A background in consumer goods, manufacturing, or distribution is an advantage, and experience in agriculture is considered a strong plus.

Compensation
The annual pay range for this role is $70,000 to $80,000, along with benefits.
