Role Overview
This position is a 1-year contractor role and requires onsite work in the UAE. The Administrative Executive (Travel) will oversee corporate travel operations for a global workforce, ensuring smooth travel planning, policy adherence, compliance support, vendor coordination, and cost management.
Key Responsibilities
The role covers the full travel management cycle, from policy communication and booking support to compliance checks, emergency assistance, reporting, and supplier management.
Travel Policy Management
- Explain travel guidelines to employees, respond to day-to-day travel queries, and keep an eye on compliance with company rules.
- Gather employee feedback on travel processes and update policies when market conditions or business needs change.
Travel Booking and Coordination
- Arrange complete travel bookings for flights, trains, hotels, and related services while balancing budget efficiency with employee comfort.
- Work with the third-party travel management provider, manage the backend booking system, and improve the overall reservation workflow.
- Support travelers with schedule changes, cancellations, rebookings, delays, and other urgent issues, including round-the-clock emergency assistance across time zones.
Cross-Border Travel Support and Compliance
- Assist employees with visa processing, entry permits, insurance arrangements, and other pre-trip formalities for international travel.
- Track changing entry and travel rules across countries, including pandemic-related restrictions and e-visa updates.
- Support special travel arrangements for group business trips such as conference registrations and coordination for blockchain and cryptocurrency-related events.
Cost Control and Reporting
- Compile monthly and quarterly travel spend reports, review reconciliations, flag unusual expenses, and analyze month-over-month trends.
- Work with Finance on reimbursement checks, compare market prices, evaluate vendors, and identify savings through hotel agreements, airline partnerships, and early bookings.
Vendor Management
- Build and maintain a database of travel-related service providers such as visa agencies and insurance partners.
- Review vendor performance using service levels, response speed, and complaint records, and lead annual negotiations and contract renewals.
