Role Summary
This is a full-time, on-site Administrative Assistant position in Bochum, North Rhine-Westphalia. The role is centered on keeping daily office operations running smoothly and providing support across administrative and executive tasks. The person in this position will manage calendars, arrange meetings, organize documents, respond to calls and emails, welcome visitors, prepare letters and reports, and keep records and filing systems accurate and well maintained.
In addition, the role includes coordinating logistics for both internal and external meetings, assisting with routine clerical duties, and offering executive-level administrative support when required. The position involves regular coordination with colleagues and leadership to help maintain an efficient workflow and a well-organized office environment.
Responsibilities
- Keep day-to-day office operations organized and running efficiently.
- Manage calendars, book appointments, and schedule meetings.
- Handle incoming phone calls and emails in a professional manner.
- Welcome and assist visitors at the office.
- Draft correspondence, reports, and other office documents.
- Maintain accurate records, files, and documentation systems.
- Support executives and leadership with administrative tasks when needed.
- Coordinate logistics for internal and external meetings.
- Carry out basic clerical and office support tasks.
- Work closely with team members and leaders to support smooth operations.
Requirements
- Experience in administrative support or executive-level administrative assistance.
- Good telephone etiquette and strong written and spoken communication skills.
- Ability to manage documents, data entry, scheduling, and organized filing systems.
- Strong time management skills and the ability to handle several priorities in a busy office.
- Comfort working on-site in Bochum and collaborating with different colleagues and stakeholders.
- Familiarity with everyday office tools such as email, word processing, spreadsheets, and calendars.
- Prior experience in an office support or administrative role is an advantage.
- Vocational training or education in office administration, business, or a similar field is helpful.
