Role overview
This administrative position is based in Mumbai for the South Asia office and supports senior leaders across Marketing, Revenue Strategy, and Sales & Distribution. The role is focused on keeping day-to-day office operations running smoothly and helping the department meet its business priorities.
Key duties
- Manage calendars proactively, coordinate travel planning, and arrange meetings across multiple time zones.
- Book meeting spaces and organize meeting or conference call invitations with relevant stakeholders.
- Plan team offsites and department meetings, including travel schedules, agendas, rooming details, and airport transfers.
- Handle business travel for assigned senior leaders, covering flights, visas, accommodation, transportation, and compliance with company travel rules.
- Prepare expense statements for review and submission.
- Take care of routine administrative work such as email handling, printing, business letters, memos, incoming and outgoing mail, and presentation updates.
- Work closely with other administrative professionals and cross-functional teams to keep communication flowing.
- Support the creation of internal emails, memos, and presentations.
- Provide logistics support for leadership visits from headquarters.
- Maintain confidentiality while coordinating travel and support for senior leaders.
- Manage urgent changes, solve issues quickly, and keep plans on track.
- Assist with occasional project data entry.
- Support requests for owner due diligence background checks in the system.
- Collaborate effectively with colleagues across different functions and levels in a diverse workplace.
- Take on additional ad hoc assignments as needed.
Experience and profile
The role requires at least 5 years of relevant experience in a large corporate environment, with exposure to supporting multiple senior leaders.
Skills and competencies
The ideal candidate should be highly organized, comfortable handling several priorities at once, and able to follow through on tasks with strong attention to detail. Advanced Excel knowledge, including pivot tables, reporting, and data analysis, is important, along with the ability to build polished PowerPoint decks. Strong stakeholder management, analytical thinking, clear communication, and collaboration skills are essential. Familiarity with Microsoft Teams, SharePoint, and other digital collaboration tools is also expected. The role calls for someone who is self-driven, adaptable, proactive, and able to work independently with minimal supervision.
