Role Overview
The Accounting & Operations Coordinator will combine accounting expertise with day-to-day operational coordination. This position is based at the Dubai headquarters and is suited to someone with a strong background in accounting and finance who can support accurate bookkeeping while also helping keep supply chain and marketplace activities running smoothly.
Accounting and Financial Control
- Handle routine accounting work such as bank reconciliations, VAT compliance, and month-end closing.
- Record and classify transactions correctly in the accounting system.
- Keep monthly reconciliation files and the related journal entries up to date.
- Match bank statements with records and investigate any mismatches.
- Review tax-related entries and make the required reconciliations or corrections.
- Manage Qashio reconciliations and related expense clearing.
- Track cash flow and support overall cash management.
- Follow up on missing invoices from suppliers and customers.
- Review free-of-charge transactions and ensure cost of goods sold adjustments are properly reflected.
- Work in line with IFRS requirements and internal control standards.
Sales and Commercial Support
- Prepare and send invoices for wholesale and purchase-order customers.
- Obtain and monitor sales reports from consignment partners.
- Track collections and chase overdue customer payments.
- Support the sales team in assessing reseller performance and commercial opportunities.
- Help analyze sales patterns, margins, and customer profitability.
Reseller and Marketplace Management
- Manage invoicing and account reconciliations for online resellers and marketplace partners.
- Prepare monthly profit and loss reports for online reseller channels.
- Analyze profitability by reseller and by category.
- Audit marketplace fees and billing items for accuracy.
- Review promotional activity and its effect on margins to confirm commercial viability.
- Provide financial and operational input to support commercial decisions.
Supply Chain and Marketplace Operations
- Oversee stock replenishment and purchase-order handling across major e-commerce platforms such as Amazon and Noon.
- Coordinate the movement of goods from inbound logistics through to last-mile delivery.
- Support inventory planning and replenishment execution.
- Monitor marketplace operations to maintain product availability and service standards.
- Work with logistics partners to improve operational performance.
Inventory Control
- Maintain visibility over inventory across UAE and KSA warehouses.
- Prepare reports covering stock health, stock age, and inventory coverage.
- Track inventory movement and help maintain stock accuracy.
- Coordinate stock transfers between warehouses and support balancing of inventory.
- Assist with inventory audits and investigate stock variances.
Cross-Functional Coordination
- Serve as a key point of contact between Finance, Sales, Supply Chain, and Logistics.
- Address operational issues and service-level delays proactively.
- Coordinate with external partners, marketplaces, warehouses, and logistics providers to keep operations moving efficiently.
Business Development and Regional Support
- Support the development, review, and improvement of KSA business operations.
- Help management assess new commercial and operational initiatives.
- Take part in process improvement projects across finance and operations.
Data, Reporting, and AI Use
- Create dashboards and management reports that improve visibility into financial and operational performance.
- Use AI tools to strengthen reporting, analysis, forecasting, and workflow efficiency.
- Look for ways to automate repetitive work and improve decision-making.
Skills and Qualities
- Strong academic background in accounting, finance, or a similar field.
- Professional certifications such as CMA, ACCA, CIMA, or CPA are an advantage.
- Solid understanding of accounting principles, financial reporting, product costing, and profitability analysis.
- Working knowledge of supply chain logistics, inventory systems, and e-commerce marketplace operations.
- Advanced skill in Microsoft Excel.
- Experience with ERP platforms and accounting software.
- Interest in analytics, automation, and AI-enabled business tools is preferred.
- Sharp analytical thinking and strong problem-solving ability.
- High attention to detail and disciplined organization.
- Ability to juggle multiple priorities and meet tight deadlines.
- Strong ownership mindset and willingness to take initiative.
