Role Overview
Cherry Assistant is looking for a full-time remote Workshop Operations & Marketing Coordinator to support a coaching and training business serving a US-based client. This position combines workshop logistics, business operations, marketing support, and light bookkeeping. The right person will be highly organized, proactive, detail-focused, and comfortable running multiple moving parts while staying several steps ahead of the founder’s needs.
Core Responsibilities
- Coordinate external in-person workshops across multiple cities, including venue sourcing, vendor negotiation, AV and catering arrangements, run-of-show planning, timelines, budgets, and checklists.
- Handle the full attendee journey, from registrations and confirmations to participant communication, surveys, and feedback review after each event.
- Oversee workshop materials and logistics by ordering, shipping, tracking supplies, and making sure everything arrives on time.
- Support the founder and executive tasks such as calendar and inbox management, meeting preparation, creating presentation materials, and following up on action items.
- Keep CRM records clean and current, manage pipelines, maintain stakeholder communication, and prepare status updates and SOP documentation.
- Drive day-to-day LinkedIn promotion by drafting posts with AI tools, building simple Canva visuals, scheduling and publishing content, engaging with comments, and growing targeted connections.
- Carry out light bookkeeping in QuickBooks Online, including invoice preparation, expense categorization, basic reconciliations, and coordination with the accountant when necessary.
- Review each workshop after completion and identify improvements that strengthen efficiency and participant experience.
Required Experience and Qualifications
- At least 3 years of experience in operations and external event or workshop coordination, with direct involvement in vendor and venue management.
- At least 2 years of experience in event marketing and operations marketing; familiarity with event metrics and return-on-investment reporting is an advantage.
- Background in invoicing, expense tracking, and client billing procedures.
- Proven ability to manage calendars, communicate with clients, and coordinate end-to-end logistics with limited supervision.
- Excellent written and spoken English, along with strong attention to detail and dependable follow-through.
- A strong ownership mindset with the ability to anticipate needs, make sound decisions, and solve problems before they escalate.
Preferred Background
- Experience in coaching, consulting, professional training, or another client-facing service environment.
- Experience in a blended role such as Event Coordinator, Operations Manager, or Practice Manager.
- Comfort with invoice handling and basic expense tracking tools such as QuickBooks or similar software.
- Basic Canva skills and some exposure to email marketing or registration platforms.
Tools and Working Requirements
- Working knowledge of Google Workspace, including Gmail, Calendar, Drive, Docs, Sheets, and Slides.
- Experience with monday.com or a similar CRM/project management system.
- Ability to use QuickBooks or comparable invoicing and expense tools.
- Confidence using design and content tools such as Canva and LinkedIn.
Schedule, Pay, and Work Setup
This is a full-time remote role for a US-based client. Working hours are Monday to Friday, with either 8:00am–5:00pm EST or 9:00am–6:00pm EST. Compensation is ZAR 19,000 to ZAR 25,000 per month. The role includes training, growth potential, and the opportunity to build a long-term relationship with the client.
