Role overview
We are looking for a proactive and highly organized Virtual Assistant to deliver wide-ranging administrative, operational, and coordination support to executives, managers, or business owners in a fully remote setting. The right person will be a self-driven professional who can juggle multiple priorities, communicate clearly, work independently, and uphold strict confidentiality and professionalism while keeping things running smoothly.
Administrative and executive support
- Oversee complex executive calendars and coordinate meetings, appointments, calls, and events across different time zones.
- Arrange travel end to end, including flights, accommodation, ground transport, and detailed itineraries.
- Review, organize, and reply to emails and phone calls on behalf of leadership, while ensuring prompt follow-up.
- Draft, proofread, and format business documents such as reports, memos, proposals, presentations, and meeting agendas.
- Capture accurate meeting notes and share action items with the relevant stakeholders without delay.
- Keep digital filing systems, cloud drives, and document repositories well structured and easy to access.
- Track expenses, process invoices, and manage basic bookkeeping work using tools such as QuickBooks or Excel.
- Prepare and send professional correspondence on behalf of leaders as instructed.
- Carry out background research and assemble briefing materials before important meetings or negotiations.
Project and operations support
- Support the planning, coordination, and tracking of multiple projects at once using tools like Asana, Trello, Monday.com, or ClickUp.
- Keep an eye on deadlines, follow up on pending tasks, and escalate delays or blockers to management quickly.
- Help onboard new employees or contractors by preparing documents, coordinating system or equipment access, and arranging orientation sessions.
- Contribute to the creation and upkeep of internal procedures, standard operating processes, and workflow improvements.
- Facilitate communication across departments to support efficient daily operations.
- Assist with vendor coordination, contract tracking, and procurement of office or operational supplies when required.
Communication and customer relations
- Act as an initial point of contact for clients, partners, and stakeholders through email, phone, or chat while representing the company professionally.
- Manage customer questions, concerns, and follow-ups in a courteous and timely way, escalating complex issues to the right team member.
- Update CRM records with accurate customer and contact details.
- Support business development follow-up activities, including outreach campaigns and meeting coordination.
Research and reporting
- Perform detailed online research on market trends, competitors, industry updates, vendors, products, and potential partners.
- Summarize findings into concise reports and practical insights for decision-makers.
- Prepare recurring operational and performance reports, dashboards, and data summaries as needed.
- Track industry developments and alert the relevant stakeholders to meaningful updates, opportunities, or risks.
Qualifications and requirements
- High school completion or an equivalent qualification is required; a bachelor’s degree in Business Administration, Communications, or a related discipline is strongly preferred.
- At least 2 to 4 years of experience in a Virtual Assistant, Executive Assistant, Administrative Assistant, or similar support role is required.
- Strong written and spoken communication skills with a polished and professional style.
- Good command of Microsoft Office Suite and Google Workspace tools.
- Hands-on experience with project management software such as Asana, Trello, Monday.com, or ClickUp.
- Exposure to CRM platforms such as Salesforce, HubSpot, or Zoho.
- Experience using collaboration and communication tools including Slack, Microsoft Teams, and Zoom.
