Role overview
Southern Health-Santé Sud is hiring a permanent Scheduling Clerk for the Home Care team in Portage la Prairie, Manitoba. This is a full-time, on-site position with a 1.0 FTE and regular daily hours of 7.75. The expected shift pattern includes days, evenings, and weekends, with a total of 2,015 annual base hours. The anticipated start date is 08/03/2026, and the posting closes on July 3, 2026.
The Scheduling Clerk serves as the key resource for day-to-day staffing coordination. The role focuses on building and maintaining staff schedules, arranging relief and on-call coverage, entering and maintaining staffing data, and supporting leadership with schedule planning. A major part of the job is making sure scheduling follows collective agreement rules while keeping staffing efficient, cost-conscious, and reliant on overtime and agency use only when necessary.
This position is part of the CUPE union and is based at Home Care - Portage la Prairie.
What you'll do
You will manage staffing schedules and related records, make scheduling decisions within established guidelines, and handle unusual situations with sound judgment and initiative. The role requires working in line with the organization’s mission, vision, values, and internal policies.
Experience and education
Applicants should have at least one year of experience using an electronic employee scheduling system and at least three years of experience in a health care setting. A Grade 12 education or equivalent is required. Candidates with experience using ESP scheduling software will be preferred. Equivalent combinations of education and experience may also be considered.
Skills and qualifications
The successful candidate should be comfortable using Microsoft Office tools, especially Excel, Outlook, and Teams. The role also requires knowledge of collective agreements, familiarity with office equipment, the ability to schedule employees in a computerized system, and strong verbal and written communication skills. You should be able to work well with interdisciplinary teams, make decisions independently, solve problems analytically, manage competing priorities, meet tight deadlines, and maintain confidentiality across paper, electronic, and other records.
Because the region is culturally diverse, the ability to respect and support that diversity is required. For designated bilingual positions, proficiency in both official languages is essential. A strong work record and reliable attendance are also expected.
Working conditions
The job requires the ability to handle the physical and mental demands of the role. There are no hazardous or notably unpleasant working conditions. The schedule may occasionally include evenings and weekends, and travel to other regional facilities may be needed depending on operational requirements.
Additional requirements
Applicants may ask for reasonable accommodations related to the materials or activities used during the selection process. Indigenous candidates are encouraged to apply and may voluntarily identify as Indigenous in their application materials. The organization states a commitment to increasing Indigenous representation across its workforce.
The selected candidate must provide and maintain a satisfactory Criminal Record Check, Vulnerable Sector Search, Adult Abuse Registry Check, and Child Abuse Registry Check. Any related service charges are the responsibility of the successful applicant.
Applicants must include three professional work references who are not related to them and who can speak to current and past performance.
In line with Manitoba’s French language services policy and the organization’s French language services policy, services are intended to be available in English and French in designated areas serving French-speaking communities. If no candidate meets the bilingual requirement, other fully qualified candidates may still be considered.
Union-represented internal applicants should note that competition results may be subject to grievance. If a selection grievance is filed, information from the competition file may be shared with the grievor’s representative, with irrelevant personal information and legally protected information removed.
