Overview

Vanguard Skin Specialists is a dermatology and plastic surgery practice serving southern Colorado communities. Its HR function plays an important role in that success, and the team is looking for an HR Coordinator to help maintain a positive workplace and keep daily HR operations running smoothly. This person will support the HR Manager and contribute to the broader HR team.

What you will do

  • Help strengthen company culture by supporting engagement activities, internal events, celebrations, recognition efforts, and other initiatives that reflect the organization’s mission and values.
  • Take part in the day-to-day life of the practice, including staff gatherings, service activities, and similar events.
  • Support the systems and tools used to encourage employee engagement.
  • Maintain employee records so files remain complete, accurate, and compliant, while controlling access according to policy.
  • Assist with benefits administration, including enrollment and ongoing support for medical, vision, dental, PTO, workers’ compensation, FMLA, and FAMLI.
  • Help manage workers’ compensation matters and support the OSHA officer with related claims and workflows.
  • Keep personnel policies, notices, forms, and manuals current and help reinforce consistent policy use across offices.
  • Support payroll-related HR tasks by updating employee files and adding relevant notes or changes to payroll documentation.
  • Create HR reports and other requested documents to support HR activities.
  • Assist with the employee lifecycle, including recruiting coordination, screening, interview scheduling, and preparation of hiring materials.
  • Support recruiting events and help the HR Manager and recruiting team with logistical needs.
  • Handle onboarding tasks such as background checks, I-9 and file completion, document collection, system uploads, training assignment, and orientation support.
  • Help gather information for performance reviews, organize templates, monitor deadlines, and maintain supporting records.
  • Coordinate employee status changes and ensure required paperwork is completed accurately and on time throughout the employee lifecycle.
  • Manage offboarding steps such as exit checklists, access removal coordination, and exit interview scheduling.
  • Provide general administrative support at headquarters, including sorting mail and assisting with event coordination.
  • Coordinate milestone recognition gifts for work anniversaries, weddings, and new family additions.
  • Track HR compliance items on the HR dashboard and follow up with employees or escalate issues to the proper manager when needed.
  • Take on additional HR-related duties as the role grows and as business needs evolve.

Qualifications

  • A bachelor’s degree in HR, business administration, healthcare administration, or a similar area is preferred, though comparable experience may be accepted.
  • At least 1 to 3 years of experience in HR, office coordination, or recruiting support is preferred.
  • Strong accuracy, attention to detail, and follow-through are essential.
  • A collaborative, service-focused approach and a track record of working effectively on teams are important.
  • Excellent verbal and written communication skills, along with strong interpersonal abilities, are required.
  • Comfort using PowerPoint, Excel, and Word, plus the ability to quickly learn new software.
