About IKEA

IKEA’s purpose is to help create a better everyday life for many people by providing well-designed, practical home furnishing products at prices that remain accessible. The business operates across Singapore, Malaysia, Thailand, and the Philippines. It is part of the Ikano Group and is the only IKEA franchisee owned by the Kamprad family, which founded IKEA. Beyond retail, the group also develops, owns, and runs shopping centres built around IKEA stores, while supporting walkable neighbourhoods that can include homes, offices, and other real estate.

Sustainability is built into day-to-day work, and the company also takes an active role in community initiatives that support children, women, and the environment.

Role overview

The Home Design Project Coordinator is responsible for keeping home design projects moving smoothly from order placement through to completion. This includes coordinating orders, schedules, documentation, installations, and post-sale follow-up so that customers receive a consistent and seamless experience.

The role also supports the sales team operationally, allowing them to focus on generating business and building client relationships. Success in this role depends on keeping processes, systems, timelines, and follow-ups tightly aligned so projects are delivered accurately, efficiently, and in line with IKEA’s service expectations.

Key responsibilities

  • Manage the full administrative flow of home design projects, including sales orders, drawings, floor plans, design layouts, and supporting documents, with strong focus on accuracy and timeliness.
  • Liaise with sales, logistics, installation, customer service, suppliers, and external partners to keep all parties aligned and projects on track.
  • Act as the main contact for clients, sharing updates, setting expectations, and helping maintain a positive customer experience.
  • Track project schedules, follow up on deliverables, and help resolve post-sale issues without delay.
  • Maintain correct project records, order status information, and customer documentation in relevant systems.
  • Handle customer questions by phone, email, and digital channels in a professional, service-oriented manner.
  • Look into order mismatches, delivery or fulfilment problems, and service recovery cases, then coordinate appropriate resolution.
  • Ensure transactions and operational steps follow IKEA policies, procedures, and financial controls.
  • Prepare and monitor reports on sales activity, project progress, fulfilment performance, and recurring issues to support better operations.
  • Support continuous improvement by spotting workflow gaps and helping implement process enhancements.

What we’re looking for

  • Background in interior design, renovation, or retail operations is an advantage.
  • Experience in project coordination, sales administration, order fulfilment, or customer service in a busy operational setting.
  • Understanding of project coordination and the full project lifecycle, from initiation through closure.
  • Ability to work across teams and manage multiple stakeholders effectively.
  • Familiarity with IKEA products and services, inventory tools, order management systems, and operational tracking platforms.
  • Comfort with data review, reporting, and performance tracking to support decisions and follow-up.
  • Knowledge of the customer journey, customer experience, and after-sales support processes.
  • Strong organisational ability with careful attention to detail and accuracy.
  • Clear communication and coordination skills for both internal and external stakeholders.
  • Service-minded, customer-focused approach.
  • Dependable, structured, and able to prioritise work effectively under pressure.
  • Collaborative mindset and willingness to support teammates.
  • Good problem-solving skills for operational and process-related challenges.
  • Flexible and adaptable when priorities or processes change.
  • Self-driven, disciplined, and able to work independently with limited supervision.
  • Strong numerical ability and confidence handling documentation.
