Role overview

The Facilities Maintenance Technician will support the smooth operation of a fully integrated facilities service for the client, covering hard and soft services, energy management, and project support. The role is part of a team and reports to the Facilities M&E Engineer. It requires a strong customer service mindset, disciplined adherence to site processes, and flexibility to work extra hours when needed. The normal schedule is Monday to Friday, 09:00 to 17:30.

Key duties

  • Oversee the daily upkeep and repair of site assets and related equipment.
  • Act as the main on-site contact for M&E matters and external service partners.
  • Manage the planned preventative maintenance schedule so compliance requirements are met, including checks such as fire alarms, lighting, generator testing, HVAC, and other statutory tasks completed by vendors.
  • Supervise third-party contractors carrying out installations, routine maintenance, repairs, landscaping, health and safety work, and fire-fighting equipment services.
  • Keep maintenance certificates and related records up to date and contribute to team meetings.
  • Prepare weekly and monthly updates on reactive and planned maintenance activities, record outcomes, and resolve issues through facilities systems such as FM 360, Facilities Team Tracker, and Drive Records.
  • Retain service documentation for both client and landlord and make use of O&M manuals where required.
  • Maintain current asset registers and as-built drawings.
  • Compile and submit site documentation and reports accurately and on time, including the Property Information Book, Site Operating Manual, Emergency Procedures Manual, Safety Meeting Log, Work Orders Log, Purchase Order Log, vendor insurance certificates, as-built drawings, paid invoices file, general files, contract files, annual property conditions report, year-end performance report, and any additional required records.
  • Carry out general maintenance work such as small fabric repairs, furniture fixes, and minor office repairs, or arrange for contractors to complete the work within required timeframes.
  • Complete routine daily and monthly inspections of facilities to ensure the office and equipment remain in optimal condition, then follow through on any issues found.
  • Keep all facilities in serviceable condition and aligned with the planned maintenance programme to improve efficiency and reduce maintenance and energy spend.
  • Ensure contractors comply with site policies and procedures, including checks of method statements, permits to work, health and safety requirements, and insurance before entry is approved.
  • Maintain strong housekeeping standards and ensure paperwork is properly completed, stored, and filed.
  • Work with Security to approve contractor access across the building.
  • Support project activity such as renovations and office reconfigurations.
  • Maintain a safe and effective working environment at all times.
  • Escort vendors on site when needed and respond promptly to call-outs.
  • Support department cost control by raising purchase orders and processing invoices through the Yardi finance system.
  • Assist with furniture reconfiguration across the building, including moving items between meeting rooms and storage areas before and after events, with manual handling required at times.
  • Take part in regular team meetings and contribute input.
  • Be available for occasional evening, weekend, and after-hours maintenance or repair work as needed.

Working hours and flexibility

Core working hours are Monday to Friday from 09:00 to 17:30. The position also requires flexibility for ad hoc additional hours, including weekend or after-hours work when operational needs demand it.
