This is a remote Executive Assistant / Operations Coordinator position with a venture capital firm focused on supporting early-stage technology founders. The role supports leadership and helps keep internal operations efficient, organized, and responsive. The engagement is contract-based, with the possibility of moving into a full-time role later.

Key responsibilities
- Keep executive calendars organized and coordinate meetings across different time zones.
- Set up meetings involving investors, founders, and partners.
- Draft meeting agendas, capture notes, and track follow-up actions.
- Arrange travel plans, lodging, and itineraries when needed.
- Help improve internal processes, documentation, and operational workflows.
- Maintain well-structured files, records, and internal knowledge resources.
- Support the creation of presentations, reports, and spreadsheet-based materials.
- Help plan and coordinate online events, webinars, and internal team meetings.
- Communicate professionally with founders, investors, vendors, and outside partners.
- Manage sensitive information carefully and discreetly.
- Provide broad administrative support to investment and operations functions.
Requirements
- At least 2 years of experience in an Executive Assistant, Operations Coordinator, Administrative Assistant, or comparable position.
- Strong ability to stay organized and manage time effectively.
- Clear written and spoken English communication.
- Excellent attention to detail and the ability to balance several priorities at once.
- Comfort working autonomously in a remote setup.
- A self-starting approach with strong accountability for outcomes.
- Professional handling of confidential information.
- Working knowledge of Google Workspace, Microsoft Office, Zoom, Slack, Notion, or similar productivity platforms.
Preferred experience
- Background in a startup, venture capital, private equity, or technology environment.
- Exposure to CRM platforms such as HubSpot or Affinity.
- Experience supporting events or investor-facing communication.
- Some familiarity with project management tasks.
- Experience working with more than one executive.
