About the Role

In this Executive Assistant position, you will support senior leaders in a fast-moving, highly dynamic environment, helping them stay focused, organized, and effective across a complex international organization.
This role is cross-functional and spans multiple geographies, with a strong emphasis on collaboration, execution, and operational excellence. You will act as a dependable partner who can anticipate needs, simplify complexity, and improve leadership effectiveness through modern tools and efficient ways of working.

What You’ll Handle
- Work closely with senior leaders to organize demanding calendars, resolve scheduling conflicts, and make sure time is allocated to the most important business priorities.
- Stay ahead of deadlines, meetings, and deliverables so you can anticipate needs and offer practical support, especially when priorities are unclear.
- Plan leadership meetings, offsites, business reviews, and strategic sessions from start to finish across several regions and time zones.
- Draft, prepare, and manage important correspondence and communications for both internal and external audiences, with a focus on clarity and professionalism.
- Monitor action items, decisions, and commitments, and drive follow-ups to keep work moving on time.
- Arrange domestic and international travel, including approvals, bookings, visa coordination, and expense reporting while following company policies.
- Coordinate meeting logistics such as agendas, materials, presentations, collaboration rooms, and technology setup so discussions run smoothly and inclusively.
- Provide hospitality support for senior leaders and guests to ensure a polished and welcoming experience.
- Use digital tools, collaboration platforms, and AI-enabled solutions to simplify administrative work and increase efficiency.
- Look for opportunities to standardize, streamline, or automate workflows and contribute to continuous improvement.
- Manage confidential and sensitive information with strong discretion, professionalism, and integrity.
- Support day-to-day administration, including document handling, data entry, purchase requests, PO creation, and expense processing with strong attention to detail.
Requirements
- At least 5 years of experience supporting executives or senior leaders in a fast-paced global or matrixed environment.
- Ability to work independently, use good judgment, and take initiative in situations where priorities change quickly.
- Strong digital confidence with productivity, communication, and collaboration tools, plus the ability to learn new systems quickly.
- Hands-on experience with modern workplace tools such as calendar systems, virtual collaboration platforms, and document-sharing solutions.
- Comfort working with data, dashboards, or tracking tools to stay on top of tasks, follow-ups, and priorities.
- Proven skill in balancing multiple stakeholders and competing requests while maintaining professionalism and composure.
- High level of confidentiality, integrity, and discretion when dealing with sensitive information.
- Excellent written and spoken communication skills, with the ability to adapt messages for different audiences, including senior leaders.
- Strong organization and detail orientation, along with the ability to keep the bigger picture in view.
- Experience managing travel, expenses, and logistics in compliance-focused corporate settings.
- A mindset focused on continuous improvement, with experience making processes more efficient.
- Experience monitoring or tracking budgets.
- Ability to work effectively across functions, cultures, and geographies in a global organization.
- Fluent German and English are required.
