Role overview
The Tampa ESPN office is looking for a highly organized, detail-focused events coordinator to support the Gasparilla Bowl, the Clearwater Softball Invitational, and the ESPN Events Basketball Invitational. This part-time position contributes to both operational delivery and sponsorship support, helping ensure each event is planned and executed smoothly.
The role is best suited to someone with experience in administration, budgeting, sponsor coordination, event planning, and client communication. The selected candidate will gain practical exposure to premium collegiate events and build relationships with sponsors, vendors, civic leaders, university administrators, and ESPN colleagues.
Event operations
- Support event planning activities, including operations, setup and teardown, credentialing, vendor coordination, and volunteer supervision.
- Help maintain and monitor event websites and AI.
- Assist with storage, apparel organization, and distribution.
- Take on additional tasks as needed to meet evolving team priorities and keep projects moving efficiently.
Sponsorship support
- Research possible sponsorship leads and partnership opportunities.
- Help build and tailor sponsor decks and presentations.
- Assist with sponsor contracts, fulfillment, invoicing, tracking, and post-event recaps.
- Monitor sponsorship agreement details and keep an internal fulfillment tracker updated.
- Communicate regularly with sponsors about deliverables and timelines.
- Support sponsor-facing events, signage, and activations from planning through execution.
- Act as a contact point for assigned sponsors and provide responsive, high-quality service.
Budget management and administration
- Assist with monthly event budget management.
- Enter, track, and reconcile expenses.
- Support leadership with budget reports and related documentation.
Administrative support
- Provide day-to-day administrative help such as scheduling, document organization, expense reporting, and file management.
- Assist with meeting preparation, note-taking, and follow-up actions.
- Support on-site event execution when assigned.
Requirements
- At least 1 year of professional experience.
- A proactive, team-oriented mindset with prior exposure to athletics and/or event operations.
- Strong organizational skills, attention to detail, and excellent written and verbal communication.
- Ability to manage several tasks simultaneously, adapt quickly, and work under pressure and tight deadlines.
- Capability to perform the listed duties with or without reasonable accommodation.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), Dropbox, and SharePoint.
- Valid driver’s license and dependable transportation.
- Willingness to work extended schedules, including evenings, weekends, and holidays.
- Ability to work from home when required.
- Availability during the specified event windows: Basketball Event Week (November 19–28, 2026, subject to change), Bowl Week (December 12–19, 2026, subject to change), and Softball Event Week (February 16–21, 2027, subject to change).
Preferred background
- At least 2 years of experience in a sport or event-related role with a professional team, local organizing committee, Convention & Visitors Bureau, athletic department, or similar organization.
- Experience supporting event operations and sponsor management.
- Working knowledge of college football, softball, basketball, and the college bowl system.
- Familiarity with ticket sales and corporate sales.
- Graphic design skills are strongly preferred.
Education
- High school diploma or equivalent is required.
- A four-year college degree is preferred.
Compensation and conditions
The hiring range for this Tampa, Florida role is $27.71 to $33.15 per hour, based on a 29-hour work week. Weekly hours may change depending on business needs. The offered base pay may vary based on internal equity, location, job-related knowledge, skills, and experience. A bonus and/or long-term incentive units may be included, along with benefits such as medical and financial coverage depending on the level and position.

This position is part-time but located within a full-time/onsite work setting in Tampa, FL. The schedule may require flexibility around event timelines and operational demands.
