Role Overview
The Admissions Coordinator is an important member of the admissions function, helping individuals and families navigate access to behavioral health treatment. In this role, you will manage referrals, connect with prospective clients, and support families through every step of the admissions journey. The position focuses on creating a smooth path into care while balancing client advocacy with operational priorities in a fast-moving environment.
Work Setting and Schedule
This is a remote or hybrid role based out of the Denver administrative office. Candidates should ideally be located in Colorado, Maryland, or Virginia.
Available schedules include Tuesday through Saturday from 8:30am to 5:00pm, or Thursday through Monday from 10:30am to 7:00pm.
Compensation
Pay is $26 to $30 per hour, depending on experience. This role is also eligible for the Incentive Compensation Program, with earnings tied to achieving defined performance and quality metrics.
Key Duties
- Act as the first contact for individuals and families exploring treatment options.
- Develop trust, assess needs, and guide people through the admissions process with empathy and professionalism.
- Handle incoming calls, web submissions, and live chat conversations efficiently.
- Explain treatment pathways, financial considerations, and next steps clearly to prospective clients.
- Partner with business development and outreach teams to coordinate incoming referrals.
- Maintain strong relationships with referral partners and ensure smooth communication and follow-up.
- Serve as a helpful resource for clinicians, providers, and community partners.
- Confirm insurance coverage, support payment plan coordination, and communicate financial options.
- Work alongside billing and finance teams to simplify payment-related workflows.
- Track and improve admissions outcomes such as conversion rate, response time, and client satisfaction.
- Take part in coaching, team meetings, and performance reviews to strengthen results.
- Keep records accurate and current in CRM platforms, medical records, and billing systems.
Experience and Education
A bachelor’s degree in marketing and/or behavioral health science is preferred.
Ideal candidates will bring 3 or more years of experience in behavioral health admissions, preferably across inpatient, residential, PHP, or IOP settings. Background in call centers, client engagement, or healthcare sales is also valuable.
You should be comfortable working toward monthly KPIs in a high-volume admissions environment, have strong communication and objection-handling skills, and be proficient with Salesforce, EMRs, and Microsoft Office. A typing speed of 50+ WPM is needed while maintaining live client conversations.
