Job overview
This contract Administrative Assistant role supports the Telemedicine Capacity Planning team with routine, process-based administrative and scheduling work. The position is designed for someone who can follow established procedures and standard operating instructions to manage leave requests, calendar updates, data entry, survey distribution, and approval tracking. The role helps the Capacity Planning Manager stay focused on strategic planning and analysis.
Assignment dates are from 7/6/2026 to 7/5/2027. The preferred work location is on the East Coast.
Compensation is $32 to $34 per hour on W-2.
Core work
You will handle recurring administrative tasks tied to scheduling and leave management, keeping records accurate and current throughout the year. Work is expected to be consistent, detail-oriented, and guided by templates, checklists, and SOPs.
- Review incoming leave requests such as PTO, holiday, PGL, STD, and FMLA, then sort them using the approved scheduling system.
- Apply the provided approval rules and escalate unusual cases to the Capacity Planning Manager.
- Record approvals and denials, then update scheduling records to match.
- Enter specialist schedule assignments in the Humanity scheduling platform using the given templates.
- Add approved specialist CE leave into the system.
- Complete manual daylight saving time schedule adjustments in March and October using the step-by-step guide.
- Send summer and winter holiday preference surveys to the medical professional team using the supplied templates and contact lists.
- Collect responses and compile them into the tracking spreadsheet.
- Identify incomplete survey responses and alert the Capacity Planning Manager before deadlines.
- Maintain the rotating holiday calendar according to the rules and guidance provided.
- Create the new-year PTO calendar and CE tracking spreadsheet each January from the supplied templates.
- Keep the Humanity scheduling tool updated whenever changes are received during the year.
- Provide ad hoc administrative help that is clearly defined, structured, and process-driven.
Education and experience
A high school diploma or equivalent is required. An associate degree, or coursework in business administration, office management, or a related area, is preferred.
The ideal background includes at least 1 year of experience in administration, scheduling, or data entry in an office or professional setting. Familiarity with scheduling software, HR systems, or similar tools is preferred, though training on the specific system will be provided. Prior experience working under SOPs and structured procedures in a team environment is also expected.
Skills and working style
The role calls for high accuracy, strong organization, clear written communication, and the ability to work independently within defined instructions. You should be comfortable with repetitive, process-led tasks and able to manage several recurring deadlines at once. A good level of discretion is needed because confidential employee information may be handled regularly.
Physical requirements
This position involves extended periods of sitting and frequent computer and phone use.
