About the organisation
Impact Migration and Education Services is a consultancy focused on Australian migration and education support. The business operates its main office in South Perth, Western Australia, and a support office in Una, Himachal Pradesh, India. The India team works with the Australian office, clients, and partners to provide administrative and coordination support.
Location and reporting
- Work location: Una, Himachal Pradesh, India
- Reporting line: Head Office, South Perth, Western Australia
Administrative and office support
- Offer day-to-day administrative assistance to consultants and management at the Australian head office.
- Manage incoming emails, calls, and messages, and route them to the right team members.
- Draft, update, and organise documents, spreadsheets, reports, and presentations using MS Office and web-based tools.
- Keep electronic files well-structured for client records, invoices, correspondence, and templates.
- Arrange and coordinate online meetings through Zoom, Teams, or Google Meet for Indian and Australian staff and clients.
Client and data management
- Support client intake and enter information into CRM or other software systems.
- Maintain up-to-date client records and internal tracking sheets.
- Monitor case progress, follow up for pending documents, and keep status trackers current.
- Protect the accuracy and confidentiality of client data in line with Australian privacy and compliance expectations.
Support for migration and education services
- Create basic checklists, document lists, and forms as instructed by migration and education consultants; no legal advice is involved.
- Coordinate the collection, scanning, and labelling of client documents for upload.
- Communicate with clients by email or phone about document submission, appointment reminders, and simple status updates as directed.
Coordination with the head office in Western Australia
- Work closely with the South Perth team to ensure smooth cross-border operations.
- Share regular updates on tasks, cases, and pending actions with Australian colleagues.
- Follow head office standards for communication, reporting style, and timelines.
Record keeping and compliance
- Maintain accurate logs of client interactions, document receipt, and approvals.
- Work according to office procedures, templates, and quality standards set by the Western Australia head office.
- Assist with simple weekly or monthly reports covering tasks, pending items, and productivity.
General office duties
- Handle routine administration for the Una office, including stationery, printing, scanning, and courier coordination.
- Support internal communication within the India team and between the India and Australia offices.
- Take on additional administrative tasks assigned by management to keep operations running smoothly.
Candidate profile
The ideal applicant is a graduate in any discipline. A background in administration, commerce, or management is an advantage. Strong spoken and written English is important for dealing with Australian staff and clients. The role also calls for solid computer proficiency, including MS Word, Excel, PowerPoint, Outlook, and familiarity with online tools or CRMs. Good organisation, time management, and attention to detail are essential, along with a professional, proactive approach and the ability to work independently while following instructions. Previous experience in administration, back-office support, or education/migration-related work is welcome but not essential.
