Role overview
This is a full-time role based in Dubai with a hybrid setup and some flexibility to work from home. The Executive Assistant will support two Co-founders across scheduling, coordination, communication, and administrative follow-up. The role is designed to keep the founders organized, informed, and focused by managing day-to-day logistics and reducing operational friction.
Key responsibilities
The position involves end-to-end executive support, including calendar planning, meeting scheduling, travel arrangements, agenda preparation, and follow-up tracking. The assistant will also manage expense reporting, keep records of payments and executive commitments, and help maintain accurate documentation of ongoing activities.
In addition, the role includes handling internal and external correspondence, filtering and prioritizing incoming requests, and ensuring responses are sent on time. The Executive Assistant will prepare presentations and documents, organize files and information, coordinate meeting logistics, and look for opportunities to improve workflows and protect the Co-founders’ time.
Required qualifications
Candidates should bring strong executive assistance and senior-level support experience, including calendar coordination, meeting management, and liaison with stakeholders. Prior exposure to expense reporting and basic financial tracking is important for maintaining accurate records and processing documentation efficiently.
Excellent spoken and written communication is required, along with strong administrative skills such as document preparation, data organization, and management of digital and physical filing systems. Experience supporting founders or senior leadership in a fast-moving startup or high-growth environment is preferred.
The ideal candidate should demonstrate discretion, integrity, strong time management, attention to detail, and follow-through. Comfort with productivity and collaboration tools such as Google Workspace, Microsoft 365, and task or project management platforms is also needed. Fluency in English is required, and additional languages are an advantage. A relevant diploma or degree in Business is expected.
