Role Purpose
The Executive Assistant will provide dedicated, high-quality support to both the Chief Communications Officer and the Chief Marketing Officer. This position is central to keeping two demanding functions running smoothly through strong organisation, coordination, and administrative support.
Key Responsibilities
- Manage the diaries of both senior leaders in a proactive way, prioritising meetings and commitments effectively.
- Oversee inboxes, prepare correspondence, and ensure follow-ups and responses are handled promptly.
- Organise internal and external meetings, including scheduling, agenda preparation, document collation, and minute-taking when needed.
- Book domestic and international travel, accommodation, and itineraries, making sure all arrangements are accurate and efficient.
- Handle expenses, purchase orders, invoices, and related administrative tasks according to company procedures.
- Keep filing systems, records, databases, and shared documents accurate and up to date.
- Track actions from meetings and ensure agreed deadlines and commitments are followed through.
- Serve as a professional and discreet contact point for internal and external stakeholders.
- Develop effective working relationships across the Communications and Marketing teams and with the wider business.
- Coordinate team meetings, workshops, and activities to support clear communication and smooth delivery.
- Provide wider administrative assistance to both functions as needed.
- Look for opportunities to improve processes, organisation, and ways of working, and help put practical solutions in place.
- Manage sensitive information carefully, maintaining confidentiality and professionalism at all times.
- Offer adaptable support as priorities shift and business needs change.
Candidate Profile
We are looking for someone with strong executive support experience, excellent organisational ability, and the confidence to work closely with senior leaders in a fast-moving environment.
Qualifications and Training
- Good working knowledge of Microsoft Office, including Outlook, Word, PowerPoint, and Excel.
- Experience in a Personal Assistant, Executive Assistant, Team Assistant, or senior administrative role supporting leadership.
- Further training in office management, project coordination, or business administration would be beneficial.
- Exposure to diary management, collaboration tools, and document management systems.
- Training in minute-taking or business writing is desirable.
Skills and Experience
- Previous experience supporting senior leaders in a busy environment is preferred, though not essential.
- Excellent planning and time management skills, with the ability to juggle multiple priorities and deadlines.
- Strong written and verbal communication skills, with confidence engaging stakeholders at all levels.
- Advanced capability in Microsoft Office, especially Outlook, Word, PowerPoint, and Excel.
- High attention to detail and accuracy across all tasks.
- Ability to work independently, take initiative, and anticipate the needs of senior stakeholders.
- Strong coordination and administrative ability.
