Role Overview
An investment management firm in Los Angeles is hiring an Executive Assistant / Office Operations Coordinator to support its leadership team and keep the office running smoothly. This position combines executive support, administrative coordination, office operations, and investor inquiry handling for a small, collaborative team of 12 people.
The role is highly visible and involves direct interaction with C-level executives. It is suited to someone who is organized, self-starting, polished, and comfortable balancing a wide range of tasks with sound judgment. The schedule is hybrid, with four days in the office and Wednesdays worked remotely.

- Provide day-to-day executive and administrative support to senior leadership.
- Coordinate office operations and assist with team-wide support needs.
- Help manage and route investor-related questions before escalating matters to leadership.
- Support meetings, follow-ups, and special projects as needed.
- Contribute to the smooth functioning of a small, collaborative office environment.
Candidate Profile
The ideal hire is confident, thoughtful, highly organized, and able to manage a broad mix of responsibilities without needing constant direction. Strong communication skills and practical judgment are especially important, since the role serves as an early point of contact for investor inquiries and operational needs.
Requirements
- Background in executive assistance, team coordination, or office management.
- Strong organizational ability and the confidence to handle varied responsibilities.
- Clear communication skills and good judgment when fielding questions and deciding what should be escalated.
- Ability to learn and work with the firm's investor portal, even without prior investment industry experience.
- Comfort with Microsoft PowerPoint.
- Willingness to assist with meeting preparation, follow-up tasks, and general team support.
- Ability to serve as the first response for portal access issues, K-1 requests, reports, and quarterly distribution questions.
Work Environment
This is a hybrid position based in Los Angeles, CA 90025. The employee will work onsite four days per week and from home on Wednesdays. The office has light visitor traffic, no heavy front-desk or phone coverage demands, and voicemail is checked only periodically.
Compensation and Benefits
The compensation package includes a starting base salary of $100,000+, plus eligibility for a discretionary bonus of up to 20%. Full medical, dental, and vision coverage are included, along with PTO.
Additional Notes
Experience in the investment world is not required, but the ability to quickly learn investor-facing processes and support related inquiries is important. Familiarity with AI tools is considered an advantage.
