Role Summary
The Events & Experiences Coordinator will help run BlinkRx’s mix of biopharma trade shows, provider conferences, and internal executive events. Working closely with the Senior Manager, Events & Experiences, this person will handle the operational details that keep each event on track, including on-site coordination, attendee and travel logistics, and both pre-event and post-event execution.
This position is remote, with a preference for candidates based in the Eastern or Central time zones. The role requires about 20% to 30% travel for event support, and the work may occasionally include evenings and weekends.
Event Execution and On-Site Support
- Take the lead on-site for priority BlinkRx events, including major biopharma trade shows, provider conferences, and executive programs hosted by the company.
- Oversee day-of coordination across booth setup, staffing, audiovisual needs, signage, and attendee movement so the event runs smoothly.
- Serve as the main operational contact for vendors and venue staff during events, resolving issues quickly as they come up.
Travel and Attendee Logistics
- Arrange hotel blocks, room assignments, and travel plans for BlinkRx team members attending large conferences.
- Maintain rooming lists and reservation details, while adapting to last-minute updates and shifting priorities.
- Create and update logistics trackers, event run-of-show documents, and attendee briefing materials before each event.
Pre-Event Planning Support
- Assist the Senior Manager with venue research, vendor outreach, and production timelines for event materials.
- Monitor project milestones and raise risks early to help keep deliverables on schedule.
- Support booth design coordination, ordering of swag and collateral, and shipping-related tasks.
- Keep event records organized, including contracts, vendor information, shipping logs, and notes from previous events.
Post-Event Operations
- Handle post-event inventory checks and coordinate the return of event materials.
- Summarize attendance, spending, and logistics observations to support post-event review.
- Spot repeated operational issues and recommend process improvements for future events.
Qualifications
- Two to four years of experience in event coordination, marketing operations, or a closely related position; experience in healthcare or pharma is helpful but not mandatory.
- Proven ability to manage several logistics streams at once while maintaining accuracy and attention to detail.
- Strong communication skills and the ability to work smoothly with vendors, venues, and internal stakeholders.
- Comfort working in a fast-changing environment where priorities may shift quickly.
- Working knowledge of common coordination and project management tools such as Google Workspace, Asana or similar platforms, and Excel or Sheets.
- Willingness to travel 20% to 30% and support on-site work, including evenings and weekends when needed.
Preferred Qualifications
- Experience handling hotel blocks, group travel, or attendee registration systems.
- Background supporting executive-level events or programs.
- Familiarity with event operations platforms such as Cvent, Splash, or similar tools.
