Overview
BMT is seeking a Bid Coordinator to join the Future Business team and help drive work-winning efforts across bids, tenders, Expressions of Interest (EOIs), pre-qualifications, and vendor portal submissions. This permanent, full-time position is available in Ottawa, ON, Halifax, NS, or Victoria, BC, and follows a hybrid working model.
The role supports the end-to-end bid cycle by organizing bid activities, shaping bid plans and strategies, collecting input from internal specialists and external partners, and helping ensure that submissions are complete, compliant, and delivered on time. The salary range for this position is $77,000 to $96,000 per year.

Role Summary
Reporting to the Future Business Director – North America and working in alignment with the Head of Bidding, the Bid Coordinator partners with the Future Business team and other stakeholders to support business development and proposal activity. The position involves close coordination across commercial, programme, capability, resource management, and business support functions, as well as engagement with senior leaders, subject matter experts, customers, subcontractors, consultants, academic institutions, partners, and e-procurement providers.
The role also contributes to corporate bidding initiatives, including support for the Global Bidding Hub, sharing best practices, and helping improve bidding processes across the organization.
What You Will Do
- Promote and apply BMT’s bidding lifecycle and work-winning standards as outlined in the company handbook and aligned with industry best practice.
- Track procurement portals and other sources for new opportunities, then circulate bid alerts to the relevant teams.
- Serve as a contact point for assigned bids and frameworks, including sharing customer updates and relevant information with contributors.
- Review briefing documents, support pursue/no-pursue and go/no-go decisions, and create practical bid plans once a submission is approved.
- Organize and oversee the full response process for bids, EOIs, and frameworks, coordinating the people needed to resource each submission.
- Collect technical, commercial, and financial content from across the business and assemble it into a structured response.
- Bring together input from sales, business development, marketing/graphics, finance, commercial, programme, capability, and external supply chain contributors where required.
- Make sure corporate procedures, guidance, approvals, and review requirements are followed and properly documented.
- Check bid deliverables before submission to confirm quality, completeness, consistency, and alignment with customer expectations.
- Monitor progress against deadlines and adapt plans when requirements change.
- Set up and lead bid workshops, including arranging meetings, giving briefings, and helping participants understand customer needs and bid processes.
- Support the creation of tailored messaging, bid materials, and submission content for each opportunity.
- Maintain bid filing in a clear and consistent format for both electronic and physical records.
- Contribute to capture planning and winning-strategy development alongside Business Development Managers and Programme Managers.
- Run bid debriefs for both successful and unsuccessful submissions and apply lessons learned to future work.
- Keep the Management Information System or similar tools updated so bid and framework records remain accurate.
- Maintain and refresh reusable proposal resources such as templates, example bids, project evidence, customer testimonials, CVs, pen portraits, corporate information, and certificates.
- Look for process improvements that can strengthen bidding practice and improve win rates.
- Support other business needs such as bid trend reporting, pipeline reporting, and monthly reporting.
Location and Work Arrangement
This role is offered in Canada, with locations listed as Ottawa, ON, Halifax, NS, or Victoria, BC. The position follows a hybrid schedule with a minimum of two in-office days each week. Travel to customer locations or meetings may also be required.

- At least 3 years of experience in bid coordination or bidding work

- Understanding of bidding, broader work-winning practices, procurement processes, and quality systems
- Ability to think creatively, work flexibly, and involve people from different functions to deliver bids together
- Comfort working independently and communicating with stakeholders at all levels
- Willingness to take immediate ownership of the tender process
